Job Summary:
The HR Administrative Assistant will perform administrative tasks and services to support an effective and efficient Corporate HR department. This position will be responsible ensuring all new employees in the Corporate Division are onboarded and prepared for a successful first day at Woodgrain. The HR Assistant will play a vital role in the culture and engagement of the employees through planning and executing engagement events. This position reports to the Corporate HR Manager.
Duties & Responsibilities:
* Answer frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc. Escalate questions to Corporate HR Manager as needed for higher-level resolution.
* Provide clerical support to the Corporate HR department.
* Maintain accurate and up-to-date human resource files, records, and documentation.
* Coordinate and plan monthly Culture Team events and activities as chair of the Culture Team.
* Assist with planning special events such as benefits enrollment, division meetings, employee recognition events, holiday parties, and retirement celebrations at all Corporate office locations.
* Develop office materials focused on relevant Woodgrain programs to bring awareness and information to employees (i.e., EAP, Pharmacy, Awareness Month, etc.)
* Plan and conduct the initial new hire orientation for Corporate Division employees.
* Perform initial new hire compliance verifications in accordance with state, federal, and applicable laws/regulations.
* Assist hiring managers with coordinating screening calls and scheduling interview appointments with potential candidates as needed.
* Audit job postings and requisitions to ensure compliance, report any expiring items to the Corporate HR Manager.
Requirements:
* High School diploma or GED.
* 2 years of work experience in a professional office setting with primary duties focused on office and/or personnel support.
* Previous experience working with an electronic HR system (HRIS) is highly desirable, but not required.
Additional Skills:
* Strong interpersonal and communication skills, both verbally and written.
* Ability to maintain confidentiality and instill trust in managers and employees that you serve.
* Must be able to work independently and manage multiple tasks at a time.
* Proficient using Microsoft Office products: Word, Excel, PowerPoint, Teams, and Outlook.
* Ability to effective communicate in English, both verbally and in writing. Additional languages preferred.

The physical demands and work environment are representative of a typical office environment. While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk and hear. The employee must occasionally lift or move up to 25 pounds.
Travel: This position does not require travel to other Woodgrain locations.
