Administrative Assistant/Front Desk Receptionist
Scranton Financial Group, a small, growth-oriented, successful and well-established Financial Services Firm in Westbrook, CT, is seeking a full-time Administrative Assistant who is friendly, reliable, and organized with good communication skills to work in our rapidly expanding financial office.
This an onsite, full-time position, no hybrid or remote schedule.
Job Duties:
· Answer, screen, and direct phone calls.
· Provide administrative support to ensure efficient operation of the office.
· Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
· Sort and distribute mail, send email announcements and memos.
· Greet visitors and make them comfortable, provide beverages and snacks.
· Assist with preparation for corporate events plus organize internal meetings and events.
· Monitor and order office and kitchen supplies and equipment to maintain appropriate inventory levels. Ability to research advantageous deals or suppliers.
· Prepare outgoing mail and packages including overnight delivery.
· Ensure that office and equipment are in good order.
· Provide support for various departments as needed including creating and updating spreadsheets, reports and marketing materials.
· Schedule and confirm appointments for managers and licensed individuals
· Accurate Data entry.
· Develop and maintain filing system.
· Make travel arrangements.
· Able to dictate and take meeting notes a plus.
