Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.   • Crown Linen is hiring a Fleet Manager to join our Brockton, MA team!

    The Fleet Manager plays an important part in the fleet logistics, safety, risk management, maintenance, and the overall management of company vehicles. Responsibilities include planning and coordinating all activities related to the company's fleet operations, including routing and scheduling, repairs and maintenance, purchasing, fuel programs, driver safety and training, DOT compliance and recordkeeping. The Fleet Manager oversees the Samsara Dash Cam Program, including installations, training, monitoring, compliance, maintenance and is an integral part of the established Fleet Safety Bonus program. The Fleet Manager will work closely with the district managers, sales managers, and the human resources department providing the necessary support and administrative functions in all areas related to Crown's fleet.


    WHAT YOU'LL BE DOING

    • Fleet Training and Compliance
      • Use working knowledge of Federal Motor Carrier Safety Regulations (FMCSR) and Department of Transportation (DOT) regulations and application to daily operations and compliance. Work with HR and legal on state specific regulations.
      • Train new and existing staff on fleet safety. Coordinate and administer annual fleet safety training for each company location.
      • Assist in the update and revision of the Fleet Safety Manual, as necessary.
    • Sales Management
      • Participate and negotiate RFP process as leasing company and fleet contracts expire.
      • Review options for new vehicles, evaluating leasing, purchasing and alternative fuel options, obtaining best pricing for sales vehicles and trucks.
      • Spearhead other fleet related costs savings, including fuel.
    • Administrative Functions
      • Maintain and monitor companywide Fleet Report (company vehicle listing), including Preventative Maintenance schedules.
      • Maintain Master Driver's List and assists HR in the administration, monitoring and updating of information including: driver's license, DOT medical cards, motor vehicle record (MVR) checks, driving history requests from previous commercial motor vehicle employers (CMV) and certification of operators driving abilities.
      • Oversee Fast Lane (Easy Pass) changes, billing, and staff changes.
      • Monitor and oversee companywide vehicle dash cam units and software program, notify managers of potential issues (excessive idling, hard breaking, speed alerts, off-hour reports).
      • Administer fuel cards to all eligible fleet drivers and employees. Monitor monthly Wright Express (WEX) fleet reports for compliance relating to premium fuel usage, fuel fill-up, quantities, odometer readings.
      • Review fleet related invoices for accuracy and approval.
      • Monitor parking tickets and approve for payment following Fleet Safety Manual policy.
      • Report any driving related violations to HR for follow up including roadside inspections.
      • Assist with DMV functions.
    • Fleet Inspection and Maintenance
      • Inspect company vehicles regularly for: proper documentation, cleanliness, overall performance, routine maintenance, wear and tear.
      • Maintain and monitor sales vehicles. Notify sales team when oil changes and other vehicle related maintenance is due.
      • Assists with companywide glass repair and truck mirror replacements.
    • Quality Control
      • Accident Reporting - File claims, investigate accidents, coordinate repairs, and generate disciplinary action and follow up with HR.
      • Take motorist complaints and follow up with managers and HR if needed.
      • Take breakdown related calls from Penske/Ryder, sales team, and service teams.
    • Routing
      • Use the Route Optimization System to assign new accounts to routes as needed.
      • Maintain and update information on daily basis, use Geocoding in building routes.
      • Regularly review each route for overlap, proper account placement.
      • Provide routing scenarios for District Managers as needed and administer re-routing for company branches when necessary.
      • Analyze dash cams for routing compliance.
