Primary Purpose of Position:
To coordinate the efforts of the offices of the Director of Food Services, facilitate the role of the Director of Food Service’s office in relation to, Food-related committees, and all the Food Service’s Team, including Jewish Home, Chai Point, Oasis and Catering. This position is responsible for providing administrative and executive support-related tasks to assist in the executive management of Ovation Communities Food Service. The position of Assistant to the Director of Food Services requires, by nature of the Director of Food Service’s position, involvement with high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion, and judgment.
Job Duties:

Perform at a level which will enhance the long-standing organizational values, mission, and philosophy of Ovation Communities.

Serve as “eyes and ears” for Director of Food Service.
- Maintain strict confidentiality.
- Be a team player.

Maintain a good working relationship with staff, Board members and volunteers.

Schedule and train Food Service staff on the campus ensuring consistency in policies and procedures, a high level of customer service, and a positive first impression.
- Interact well with Residents.

Act as liaison for Director of Food Service.

Handle incoming phone calls, check voice mail and e-mail regularly to keep current on situations and needs.

Handle daily mail by sorting and distributing it to appropriate parties.

Order groceries, and other supplies.
- Send faxes and distribute all in-coming faxes.

Make travel arrangements for staff (air, hotels) and registrations for staff attending conferences.

Send out meeting notices and materials for all Boards and numerous committees and keep track of attendance.

Transcribe staff in-services and food committee meeting minutes.

Take orders for catering, cost out caterings, and send quotes.

Update staff and committee lists.

Prepare correspondence for the Director of Food Service for condolences, thank you letters, etc.

Photocopy and assemble materials for meetings and scan information to appropriate parties.

Assist other departments as necessary with photocopying, typing, and delivering materials to outside agencies.

Prepare Orientation packets for new staff members when they meet with the Director of Food Service.
- Other duties as assigned.
Experience:
-
Three or more years of administrative/executive assistant experience preferred.
Education:
-
High School degree or equivalent. College degree preferred.

Experienced with Microsoft Office products and programs.

Exceptional organizational skills and the ability to balance multiple projects.

Must be able to maintain complete confidentiality.

Excellent written and oral communication English language skills and phone etiquette.
