SUMMARY
Under supervision of the Executive Assistant, assists with coordinating general operations of the corporate office.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Provides administrative support to Burbank staff, including typing, photocopying, binding, and packaging and mailing items. Assists with travel preparation as needed. Reviews invoices for accuracy and processes for payment.
Supervises reception support and provides reception support on a weekly basis, including sending reminders, and resolving problems as needed to assure all tasks are completed.
Coordinates kitchen duty assignments and follow through including sending reminders and resolving problems as needed to assure all tasks are completed.
Purchases and maintains office supplies, office stationary, and office equipment. For example, purchasing fax machines, shredders etc. Maintains office copiers, postage machines and folding inserting systems including scheduling services, filling paper trays etc.
Coordinate internal office moves including cubicle reconfiguration.
Manages, tracks and maintains shared office space and conference rooms including stocking areas regularly, maintaining updated company rosters, and repairing of furniture as needed.
Keeps mailroom and workspaces clean, neat and fully stocked. Maintains office appearance including but not limited to scheduling carpet cleaning, painting and other office renovations.
Responsible of maintaining and tracking office keys including ordering, issuing and replacing office keys.
Acts as transportation coordinator for the Burbank office, including monitoring vehicle license, registration, and fuel card expenses. Responsible for maintaining and tracking company vehicle including but not limited to having the vehicle serviced, and cleaned.
Assists with scheduling catering for meetings held at the Burbank Office, including set up and cleans up of the area. Coordinates and supervise events and meetings including interfacing with outside vendors (establishing and maintaining good relationships), negotiating rates, site determination, coordinating transportation, event preparation, set up and follow through. Tracks program and event expenses.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES
Knowledge of office operations, including inter-facility (pouch) mail, US postal service and other courier services, recycle program, etc.
