The Program Director is responsible for overseeing the administration of the agency, student recruitment and retention. Other key duties include, but are not limited to, fundraising, grant development, and community outreach.
Qualifications
Communication skills (oral and written}, networking, organizational skills, computer skills (including Microsoft Office and Quickbooks), website maintenance and coordinating financial functions on behalf of the Board of Directors.
Also, the ability to work independently and with a diverse population.
The Program Director reports directly to the Rochester Children's Scholarship Fund, Inc. (RCSF) Board of Directors.
Requirements
College degree preferred; high school or equivalent at a minimum Experience working in an educational environment helpful
We are seeking a candidate interested in a part-time salaried position (24 hours per week) including six weeks (unpaid) off each summer.
Responsibilities
To foster communications with counselors, teachers, staff and principals within the Rochester City School District.
Be the primary point of contact for all agency communications including written correspondence, updating and maintaining our website and social media
Office management
Major components of this position:
I. Student scholarship application processing
II. Developing Board and Committee reports, including monthly Board meeting agendas
III. Financial responsibilities including monthly bank reconciliations, depositing monthly and quarterly payroll taxes and assisting the Treasurer with the annual financial statement and tax filings
IV. Plan, coordinate and run the Winter Celebration (held in December) and the Student Reception (held in June)
V. Fundraising, including, but not limited to: Sponsor-a-Scholar, helping in the preparation of and submission of grant applications and any events as directed by the Board
1. Student Scholarship Applications and Reviews
· Send applications to eligible eighth graders via the postal service or meet directly with the students prior to school year end. Coordinate efforts with school counselors.
· Present complete applications to the Program Committee for review and acceptance into the Program.
· Summarize applicant information at Board meetings.
· Notify each applicant of the Program Committee's decision. Communicate information to the school counselors.
· Request grades from the Rochester City School District (RCSD) at the end of each marking period for scholarship recipients.
· Summarize scholar recipient information to the Program Committee.
2. Board of Director Support
· Distribute monthly board meeting minutes and agenda to the Board
· Maintain the board roster
· Assist the Board of Directors with board recruitment Keep Board President apprised of pertinent information
· Perform additional duties/responsibilities as directed by the Board
Maintain at the RCSD Central Office location at 131 W. Broad Street, provided by the Rochester City School District, all official files of the Corporation including minutes, financial reports, annual tax filings and By-laws at the direction of the Board Secretary
Ill. Finance
· Prepare quarterly scholarship checks utilizing QuickBooks for Board President/Board Treasurer signature.
· Distribute scholarship checks to the scholarship recipients. The 4th marking period checks are mailed to each student.
· Prepare monthly bank reconciliation (using Quickbooks)
· Prepare monthly state and federal payments as well as Worker's Compensation and New York State Disability Insurance
· Prepare additional checks as directed by the Treasurer.
· Assist the Treasurer in gathering the information necessary for the preparation of the armual financial statement and filing of tax returns.
· Maintain donation records and correspondence. Send written acknowledgements to donors.
IV. Winter Celebration & Spring Student Reception
· Schedule the dates for each program at the decided upon school venues. Create invitations and mail to all student scholarship recipients and their Families. With assistance from the Board, decide upon refreshments to be served at each event.
· Meet with vendors to order food and arrange for delivery on the day of each event.
· Distribute a sign-up sheet at Board meetings for Board members to volunteer for necessary assistance at each event.
· Design and have printed a Program for the Student Reception Coordinate the set-up of tables at the venue on the day of, as well as decorations,,name tags and signs as needed.
· Serve as host at each event: greeting students, parents, speakers and attending dignitaries.
· Arrange for handing out checks to students
V. Fundraising
· Promote the Sponsor-A-Scholar program through appropriate business contacts and other methods.
· Research and help apply for grants
· Plan and direct special fundraising events as directed by the Board
· Maintain contact with current donors through oral and/or written communication
