    Background/IRC Summary: 
    The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises and helps people to survive and rebuild their lives. Founded in 1933, the IRC offers lifesaving care and life-changing assistance to refugees forced to flee from war or disaster.

    The External Relations (ER) department was created in early 2020 and is comprised of 3 main but complementary functional areas: Private fundraising, Communications and Advocacy. The department is in the beginning stages of creating a new ambitious strategy that will enhance IRC’s ability to achieve greater success in private income, advocacy, and brand awareness. Supporting this endeavor, and an integral part of ER, is the Global Partnerships and Philanthropic Services (GPPS) Unit. Reporting into the VP International Philanthropy & Partnerships (IPP), GPPS consists of functional specialists across a variety of high-value fundraising functions, comprising three pillars: Research, Partner Engagement & Corporate Affairs, and Program Services.

    IRC’s Crisis Response, Recovery and Development (CRRD) department focuses on various relief, rehabilitation, and development programs for refugees, internally displaced persons and those affected by conflict in different regions worldwide. Each region is led by a regional team that oversees the region’s country programs. The IRC’s Emergencies & Humanitarian Action Unit (EHAU) oversees IRC’s global emergency preparedness and response activities. The mission of the EHAU is to expand and improve IRC’s ability to help affected communities survive in acute emergencies and hard to reach contexts by investing in people, systems, and solutions to complex humanitarian challenges. The EHAU team achieves this mission through ongoing rigorous risk analysis, investing in capacity strengthening of frontline humanitarians, partnership with local actors, offering collaborative support and technical assistance to teams working in emergencies and hard to reach places, and deploying and supporting world class emergency response staff as they help people affected by acute crisis situations.

    Job Overview/Summary: 
    High value fundraising teams and EHAU teams collaborate to support the successful management of private partnerships around the world. The teams work in tandem, with EHAU implementing programs and the high-value fundraising teams managing relationships. As available funds have grown substantially, additional oversight is required to ensure the best use of resources, successful outcomes on emergency projects, as well as timely, transparent updates and reporting to private donors. The Emergency Funding Coordinator will help coordinate the engagement of these two business functions around emergency fundraising appeals, serving as the connection point between GPPS and EHAU to ensure efficient and transparent reporting to HV donors, including programmatic updates, allocation of funds, and impact numbers by programmatic area.

    This new role, the first to focus solely on emergency donors and partnerships between these departments, will contribute to managing requests for funding, ensure clear project tracking, and support accountability both internally and to donors.

    The Coordinator will act as a key liaison between partnership managers in the high-value fundraising teams and the emergency response teams, for the successful delivery of our donor commitments. This role is managed in partnership between EHAU and GPPS’ Partner Engagement and Corporate Affairs team reporting to the Director of Emergency Funding, and the Associate Director, PECA, respectively.

    Major Responsibilities:
    Appeal Funding Management
    Support project management process for internal emergency funding allocations, including sending approval notifications, maintaining project tracker, and complete files, following up with countries/response teams when information is missing
    Ensure regular check-ins are held on time and internal reporting deadlines met
    Maintain public trackers to share information on approved projects on the IRC’s intranet, RescueNet, at regular, timely intervals
    Work with HV fundraisers on potential restricted gifts, advising on capacity to absorb funds or accept various restrictions before finalizing gift agreements
    Review and provide feedback on internal project reports from implementing offices, including collecting impact numbers for general appeal reporting
    Travel approximately 20% to support the monitoring of projects, in coordination with the DD, Emergency Funding

    Grant Management
    Serve as focal point on any restricted grants related to appeal funding including managing OTIS, reviewing agreement terms, requesting D1s, and working with fundraiser to ensure proper tracking
    Work with HV fundraisers to ensure alignment on expectations, reporting needs, and other requirements, with allocation to specific projects
    Oversee the information management and filing system for grant materials, ensuring donor contractual documents and key correspondence are consistently filed 
    Coordinate reporting with country teams when required for specific awards, including multi-country grants
    Support budget realignments and grant amendments/modifications as needed
    Act as compliance focal point for the portfolio, advising implementing offices of relevant donor policies, regulations and procedures
    Maintain a grant tracker and reporting schedule for appeal funds, and complete internal online grants records for all funding sources
    Facilitate signatures on grant and partnership agreements, amendments, and other required documents

    Donor engagement and storytelling:
    Support accurate and engaging external reporting, packaging existing content for donor engagement, and provide final review on any materials
    Provide qualitative updates on program and client impact while visiting programs for Donor Engagement team to package as cultivation pieces
    Collect content on program achievements and human-interest stories to demonstrate the impact of appeal funding for private donors and emergency fundraising/CRF prospects 

    Other
    Provide back-up support as needed to emergency field teams

    Requirements
    University Degree, or equivalent experience
    3-4 years’ previous work experience required; humanitarian sector experience preferred
    Attention to detail; Ability to manage multiple, competing deadlines and priorities
    Understanding of American and European institutional donors and their requirements preferred
    Experience with writing, reviewing and editing narrative and financial reports
    Understanding of humanitarian aid and development programming
    Fluency in all standard PC office software such as Excel, Outlook and Word 
    Demonstrated ability to successfully work in a fast-paced environment, within and across departments/functions and develop positive relationships with local and remote staff
    Customer service orientation with desire to find creative and timely solutions for field teams
    Excellent oral and written English communications skills required. Additional languages are an added benefit.
