Fundraising Coordinator coordinates operations to execute an organization's fundraising strategies, campaigns, and capital development initiatives supporting short- and long-term organizational revenue objectives. Supports donor stewardship programs to identify, develop, retain, and nurture a portfolio of individual and institutional donors and corporate or governmental partnerships. Being a Fundraising Coordinator plans events and develops communications to increase donor engagement. Uses a donor database and software tools to produce data-driven measurement and reporting of the progress of fundraising goals. The Role of the Sales & PR Coordinator
The Sales & PR Coordinator is responsible for assisting the sales / events team with site inspections (group and travel industry) and for providing administrative and clerical support to the events team members on property.
The role reports to the Director of PR with support and supervision by the Sr. Events Manager based on property. The role requires an individual who is comfortable working in a cross-functional team environment to seek the best collaboration and outcomes.
The Sales & PR Coordinator should have excellent writing skills and be able to build relationships with internal and external stakeholders.
Key Functions for Sales & Events
Works closely with sales & events team for seamless transition of site inspection incl. pop-up sites.
Supports sales manager as required with site alert forms when applicable.
Enter all site inspection activity into Delphi, both sales and PR related.
Coordinates and communicates verbally and in writing with customer (internal and external) regarding site / visit details.
Executes and supports the pre / post sites of business booked as directed by Sr. Event Manager.
Adheres to all standards, policies and procedures of Four Seasons
Handle requests, complaints and conflicts in a professional matter.
Performs all reasonable duties requested by management.
Flexible working hours
Ability to work across multiple cultures, understand sensitives, and be able to work across a variety of languages.
Assist Events Team with Booking in-house events : Create In-house BEO, Distribute to the team and send confirmation to in-house contacts
Assist Events team with introduction after turnover : Group Sales Coordinator in Boca sends turnover to the team. Coordinator sends introduction email to the client introducing event manager.
Coordinator schedules initial call for event manager with client.
Assisting with managing calls or inquiries for events team.
Creates and organizes master BEO Book : Batch print BEO’s for BEO Meeting.
Prepares meeting room for pre-con meetings incl. setting dept. place cards, resumes and BEO’s for clients.
Key Functions for PR
Covers all PR & Media related functions for the resort, as the business requires and as assigned by Director of Public Relations
Submit Reservation and transfer requests using Resort booking forms
Record all incoming Media and Influencer visits on relevant tracking sheets and in Delphi
Creates content for social media as assigned by the Director of Public Relations
Plans, posts, engages and monitors social media channel(s) as assigned by the Director of Public Relations
Creates PR and Media Itineraries in partnership with agency and Global PR teams input and direction
Execute Media and Influencer Famtrips on-site in accordance to the unique needs of the visit
Handles creative briefs for Influencer and Content Creator visits
Reviews and signs for site and media visit entertainment and submits supporting documents
Maintains a local PR & Media database incl. vendors and suppliers
Assists in monitoring third party websites for relevant content updates
Assists with Press Room updates, including story starters and Meet The Team sections
Submits VIP / Amenity Info (when applicable)
Handle additional Resort or Brand assignments or projects assigned by Director of Public Relations
