    Summary

    The Graduate Medical Education Program Coordinator provides high-level administration and coordination of graduate medical education administrative operations, including the educational and recruitment activities of residents, faculty, and support staff in the GME program and ensuring that accreditation standards are met, educational activities are established, departmental policies are created and enforced, and recruitment strategies implemented, and a highly successful graduate medicine physician residency program is maintained.

    Responsibilities

    GME Program Coordinator, in conjunction with Director, is responsible for the administration and coordination of Graduate Medical Education programs through specific duties and responsibilities which may include, but are not exclusive to:

    Oversee daily activities of the residency/ fellowship program. Organize and prioritize the activities of the resident/clinical fellows; monitor work progress status and ensure compliance with requirements.

    Provide both administrative supervision and support to residents, which may include after hour shifts/ events, to ensure physician wellbeing and safety. Act as a liaison between residents and hospital administration when necessary. Establish relationships and act as a liaison to other hospitals, internal departments, and divisions regarding resident recruitment, orientation, annual program affiliation agreements, and external rotations.

    Serve as contact person for the interpretation and application of policies, procedures and program guidelines. Troubleshoot discrepancies and determine, in conjunction with program leadership, appropriate corrective actions to be taken. Collaborate in the development and implementation of operational policies, procedures and standards, and communicate associated changes. Identify and report compliance issues and assist in correcting situations resulting in duty hour violations.

    Analyze and maintain residency curriculum, in conjunction with Director, to ensure program requirements are being met through training program. Manages evaluation mapping of core competencies and milestones through evaluation. Manage, monitor and document the residency/ fellowship evaluation process. Manage materials for specialty-specific trainee exams and will assist with proctoring exam.

    Develop, distribute and update the resident rotation, vacation and leave schedules in electronic systems according to duty hour requirements with oversight of the program director and/or his/her designee(s). Ensure curriculum requirements are met by training level and accreditation (requires strong knowledge of program, requirements, and processes) Ensure Program Letters of Agreement are accurate in conjunction with Compliance.

    Coordinate recruitment season in conjunction with Director, by managing recruitment database and overseeing the application processes during the residency recruitment season. Schedule interviews and track evaluations of interviewed applicants. Prepare data for initial match rank list. Facilitate the administration and coordination of all residency applicant interviews and communicate with applicants as necessary. Write and revise recruitment brochures and all printed material forms, as well as all website information.

    Perform all residency match responsibilities and correspond with newly matched residents about requirements and process for appointment to residency. Coordinate residency onboarding process of newly matched residents. Collaborate with Human Resources to ensure the thorough and timely onboarding of matched residents to hospital employment position.

    Plan and coordinate all departmental annual events. Participate in and support the administration of required reoccurring meetings, such as Program Evaluation Committee, Clinical Competency Committee, GME Leadership Meetings, and Faculty Meetings. Prepare, in conjunction with Director, reports and documentation for Accreditation Council for Graduate Medical Education (ACGME) Site Visits and internal reviews.

    Assist Director in maintaining budgetary expenses including purchases supplies, equipment and capital items for unit(s).; processes check requests for reimbursements, continuing education and subscription renewals accurately and timely; maintains adequate level of supplies in a cost-effective manner.

    Effectively utilizes and performs technical and analytical functions related to maintenance of multiple databases and various software programs including but not limited to: Electronic Residency Application Service (ERAS), National Resident Matching Program (NRMP), New Innovations, QGenda, Graduate Medical Education (GME) Track - America Medical Association (AMA)/Association of American Medical Colleges (AAMC), ADS - ACGME, and American Board of Family Medicine Resident Training Management System (ABFM-RTMS).

    Ensure an appropriate educational environment that enables the institution and the educational program to achieve substantial compliance with requirements of the Accreditation Council for Graduate Medical Education (ACGME). High level knowledge of accreditation standards for Accreditation Council of Graduate Medical Education (ACGME) and special Educational Requirements for physician graduate medical education programs. Functions as liaison between residents, hospital departments, attending physicians, administration and outside institutions.

    Other duties as assigned.

    Required: Bachelor's Degree in related field and 3 years commensurate level of experience in tasks specific to office administration, healthcare scheduling processes, or human resources.

    Preferred:GME Experience; TAGME Certification
