Job Purpose: Responsible for the preparation, oversight, monitoring, fiscal management and statutory compliance of all grants assigned.
Minimum Position Requirements:
Education/Training: Must possess a Bachelor Degree in business, finance, business administration, or a related field.
Experience/Knowledge/Background: At least three (3) years relevant work experience is required; four (4) plus years preferred, or any combination of education and experience that provides equivalent knowledge, skills and abilities.
Skills: Must possess advanced computer/keyboarding skills that include proficient knowledge of Excel spreadsheets, the Microsoft Office Suite, and database software. Must be able to read and interpret legal documents, procedure & policy manuals and routine and non-routine correspondence. Strong written and verbal communication skills are a must. Must have the ability to coordinate and organize multi-agency work activities, and troubleshoot problem situations. Must be competent in using online video conferencing for communication, meetings, and trainings. Ability to work independently and also as a member of a professional team. Excellent time management and organizational skills. Demonstrated ability to work effectively and efficiently within teams and independently. Must have advanced knowledge of Windows, Microsoft Office and spreadsheet creation and utilization. Must be highly organized and detail oriented and must also be able to work collaboratively with multiple departments.
Appearance/Personality: Courtesy and a professional business demeanor and presentation are critical. Due to the personally sensitive nature of information in this office, confidentiality is essential. Must have the ability to work well with a diverse group of people.
Special Requirements: Must be a minimum of twenty-one (21) years of age; have a valid driver’s license; and submit to a pre-employment screening, a criminal record check and in-depth reference check. Must be able to multitask and work independently with minimal supervision while meeting established deadlines. Must have a working knowledge of grant application and reporting processes.

Essential Job Functions:
Grant Management
- Researches possible grant opportunities and coordinates application process with appropriate personnel.
- Maintains grant related registrations and access to grant related websites.
- Leads regular Grants Meetings providing updates regarding all grants.
- Manages timelines and deadlines for grant application submission.
- Writes and prepares grant applications.
- Compiles and disseminates fiscal year annual grant reports.
- Completes monthly reconciliations of grant accounts and prepares financial expenditure reports, summarizes and projects grant revenue and expenses.
- Submits monthly, quarterly and annual financial reports to the agencies providing funding/grants.
- Submits invoices for grant fund reimbursements and payments to the grant’s awarding agencies.
- Compiles paperwork associated with the requirements established by various grants.
- Prepares resolutions and paperwork for submission of grant applications, awards and contracts for the weekly Board of
Commissioner meetings.
- Prepares grant budgets, appropriations and monitors for transfer of funds through the county Office of Management and
Budget.
- Maintains confidentiality in regards to personnel records.
- Assists with the approval and authorization of expenditures and invoices for grant accounts.
- Maintains files and filing systems.
- Digitally enters and retrieves relevant information and data.
- Works closely with administrators and department staff to ensure all grant data and reporting requirements are being met.
- Shall review and approve the data requirements and reporting for all grants. While working together with the grant service providers/grant writer, if unsure if data source exists, shall facilitate understanding as to what specific data the court has access to and if not what steps need to be conducted in order to ensure this data is going to be available upon grant receipt. (i.e. centralize grant data requirements and reporting).
- Works with the data analysts, administration, and program staff to develop best practices for capturing programmatic data.
- Develop clear and concise documentation and instructions for data input and reporting.
- Provide applicable training and technical assistance to staff.
- Works with grant evaluators to identify and collect key data sets, output and short and long term outcomes.
- Completes various monthly, quarterly, annual and other assigned reports.
- Attends and participates in meetings, training sessions, conferences, seminars.
- Develops time lines for short term and long term projects, ability to work independently to meet deadlines.
- Provides feedback to program staff, administration and others as directed for improving communication with service providers on various projects.
- Maintains files and filing systems.
- Interacts and consults with outside agencies and community service providers as needed.
Other Job Duties and Responsibilities:
- Attends mandatory staff meetings and training as required.
- Provides assistance/back up coverage to other personnel as needed/requested.
- All other duties as assigned.
Language Skills:
- Requires the ability to utilize a wide variety of advisory data and information such as financial statements, technical operating manuals, statutes, procedures, guidelines and non-routine correspondence.
- Outstanding verbal and written communication skills are essential.
- Ability to write routine and non-routine reports and business correspondence.
- Must write legibly.
Mathematical Skills:
- Requires the ability to multiply and divide in all units of measure using whole numbers, common fractions and decimals, and to compute discounts.
- Accuracy and attention to detail are a must.
Reasoning Ability:
- Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving the evaluation of information against measurable or verifiable criteria.
- Requires the ability to apply and carryout instructions furnished in written or oral form.
- Requires the ability to independently problem solve.
Physical Demands:
- Tasks involve the ability to exert light physical effort, to include the ability to walk (to include up and down multiple flights of stairs), stoop, bend, kneel, use hands, move objects, reach, push and pull on a regular basis.
- Frequently requires using hands and fingers to operate computer keyboards and office equipment.
- Must be able to hear and also talk in a clear and concise manner.
- Occasionally required to lift and/or move ten (10) to fifteen (15) pounds.
- Tasks may involve extended periods of time at a keyboard or workstation.
Work Environment:
- Tasks are regularly performed in safe and comfortable surroundings without exposure to adverse environmental conditions.
