Job Title: HR Coordinator

Reports To: HR Manager

The Human Resources Coordinator helps with the implementation of services, policies, and programs working closely with the all individuals within the HR Department as they help to coordinate onboarding of new employees and provide administrative assistance in other areas needed. The HR Coordinator reports to the HR Manager.
This Human Resources Coordinator position will assist with onboarding of new hires, recordkeeping, employee orientation, training logistics and recordkeeping; survey and audit requests, maintaining employee files and the HR information system; and assisting with the day-to-day efficient operation of the HR office.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Responsible with administering conditional offer of employment and the pre-employment process by contacting applicant to collect all related documents, scheduling drug testing and assessments and checks references and employment verifications.
Assists with New Hire Orientation.
Retrieves voice mail from the general mailbox and distributes messages to appropriate staff. Returns calls to donors asking for information.
Performs variety of clerical/administrative duties for the HR department to include maintaining HR Calendar, assisting with audits, maintaining/tracking tasks, filing documents into personnel files and ordering office supplies for Human Resources Department.
Maintains HRIS database by inputting employee information such as personal data, attendance, performance reviews, training, and other related information. Maintain job description database. Assist with maintaining affirmative action and applicant tracking database.
Compiles data from personnel records and prepares HR reports.
Responds to employment verification, unemployment, and past employment verification requests from government agencies and employees.
Acts as backup for the HR office when other staffs are on leave.
Assists with screening applications, phone screens applicants, coordinates and inputs applications into applicant tracking database/tracks applicant status as needed.
Attends job fairs on an as needed basis.
Assists with research and special projects as needed.
Assists in the evaluation of HR processes to streamline and improve process efficiency.
Provides high-level confidential support to the Human Resources Department and organization, including handling and maintaining confidential information and documents on a daily and on-going basis. Executes “Need to Know” information exchange and communications as appropriate.
Keeps immediate supervisor promptly and fully informed of all problems or unusual matters of significance coming to his/her attention to facilitate prompt corrective action as appropriate.
Maintains a favorable working relationship with all other employees to foster and promote a cooperative and harmonious working climate, which will be conducive to maximum employee morale, productivity, and efficiency/effectiveness.
At all times projects a favorable image of GIH to promote its aims and objectives and foster and enhance public recognition and acceptance of all of its areas of endeavor.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); and one to two year’s related experience and/or training or equivalent combination of education and experience. Previous experience and education in human resources highly desired.

Excellent customer service skills, an eye for detail and quality, analytical, problem solving and project management skills, and the ability to work independently. The ability to research and analyze various and different types of data information in varying formats. Must have the ability to make recommendations to effectively assist with resolving problems or issues, by using judgment that is consistent with standards, practices, policies, procedures, regulation or government law. Excellent communication skills (written and verbal), comfortable conducting presentations/training classes. Ability to appropriately organize and prioritize competing priorities. Proficiency in MS Word, Excel, PowerPoint, and Outlook, with strong internet research skills required.
Interpersonal competencies include: teamwork, communication, and judgment skills. Must be able to maintain confidentiality and professionalism at all times, refraining from any behavior that could be perceived as gossip.
LANGUAGE SKILLS
Must have excellent communication skills and be able to relate well with all employees and team members. Ability to read, analyze, and interpret common journals, reports, and other documents. Ability to respond to common human resources inquiries from employees and managers or members of the business community. Ability to effectively present information to employees.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY
Ability to define problems, collect data, establish facts, draw valid conclusions, and discern appropriate escalation of matters of varying importance and urgency in an environment with competing priorities.
COMPUTER SKILLS
Intermediate to advance proficiency in MS Office, Word, Excel, PowerPoint, Outlook. Proficiency with email, internet, and relational databases required. Able to accurately type up to 45 wpm.
