      Position Purpose: The Human Capital Office Assistant provides general clerical support to the Director of Human Capital, the Human Capital Department, and the District Office. This position assists the Human Capital Office with performance review tracking, personnel file organization and maintenance, new employee on-boarding functions, various payroll entry duties, clerical duties, drafting memos, producing reports, and back-up to the Human Capital Office as needed.

      Responsibilities
      1. Clerical Support: performs work of a general office nature that assists with the efficient operation of the Human Capital office and district office.

      Priority: Essential | Percent of Time: 50%

      Examples of this work include:
      • Greets and directs visitors; operates the main switchboard line in directing calls and visitor’s inquiries regarding the FPS District.
      • Processes new hire employment paperwork; prints badges/assigns FOBS using Ccure program.
      • Distribution of building mail and community/district flyers. Serves as mail back-up to District Office.
      • Schedules appointments, meetings, maintains calendars, etc. Schedules use of meeting rooms in the District Office as needed and posts meeting room schedules.
      • Records minutes for HR meetings. Maintains confidentiality and respect to all staff members and the public.
      • Files paper and electronic records, memos, background checks, and other sensitive documentation.

      • Assists the Human Resource department with creating and mailing correspondence, scheduling, and formats documents as requested.
      • Operates office equipment.
      • Maintain staff directories for district office.
      • Ensures that appropriate legal posters are placed in all worksites.


      2. Data Entry: enters and updates information utilizing various software and the district’s business management software.

      Priority: Essential | Percent of Time: 40%

      Examples of this work include:
      • Enters information into School ERP Pro to generate a Fargo Public Schools ID. Creates username/e-mail address for new employees using Active Directory. Enters additional information as assigned.
      • Utilizes School ERP Pro to enter employee address changes and process legal name changes submitted through Employee Self Service.
      • Monitors and maintains record of staff with a professional license through ND Education Standards & Practices Board ensuring a current ND teaching license is received, recorded, and filed. Records paraprofessional certification as received.
      • Assists with entering evaluations in School ERP Pro for non-certified staff and file in personnel file.
      • Assists public in completing high school transcript copy request form for student records.
      • Monitor student teacher workflow.


      3. Other duties as assigned.

      Priority: Secondary | Percent of Time: 10%

      Examples of this work include:
      • Serves as the back-up for entering ND Workforce Safety (NDWSI) for safety/work injury related situations. This includes: Communication regarding corrective action to building administrators. Monitors medical and time loss claims coordinating with NDWSI.
      • Attends professional development training as needed and as required.



      Knowledge, Skills, and Abilities

      Minimum Qualifications
      • High school diploma or GED.
      • One year of office/clerical work experience.
      • Strong computer skills, especially Microsoft Office Outlook.
      • Experience working respectfully and collaboratively with diverse populations.
      • Skilled in composition of letters, publications and reports. Must possess good grammar/spelling punctuation skills as well as editing and proofreading skills.
      • Demonstrated ability to take initiative to complete tasks.
      Preferred Qualifications
      • An Associate’s degree or coursework in the field of Human Resources, Business Administration, Paralegal, or related fields.
      • Previous Human Resources experience.
