We're on the lookout for a vibrant solutions-orientated individual to be part of our day-to-day HR operation. If you have a track record of maintaining and improving HRIS and ATS systems, like creating and improving on systems, have experience with background checks, benefits administration and/or experience with HR Communications and supporting an HR site, this role is for you!
This position is based in Washington, D.C., and reports to the Chief People Officer.
Primary Responsibilities:
The HR Associate will support the day-to-day operations of the Human Resources Department; and will be primarily supporting functions of HR including our newly implemented HRIS (ADP) and ATS (iCIMS), supporting benefits administration, helping to manage content for the website, assisting with background checks, editing policies, and assisting the Chief People Officer with exciting miscellaneous projects.
HRIS (ADP) and ATS (ICIMS) Administration
- Support the Chief People Officer with ADP and iCIMS systems. Take ownership of updating and maintaining employee documentation, ensuring accuracy and compliance to company policies and procedures. Duties will range from entering data correctly and timely, helping standardize documents to be uploaded, and collaborating with the finance department when needed, as well as with auditing data and assisting with training users whenever necessary.
- Assist in HRIS-related inquiries as the primary point of contact to resolve employee queries and errors efficiently.
- Help to educate and assist employees with questions regarding ADP and iCIMS, provide timely solutions to issues raised and seek customer support from external sources whenever needed.
Day-to-Day HR Operation Support
- Provide comprehensive administrative support to the HR Team, facilitate efficient workflow and enhance productivity
- Coordinate and manage background checks, ensure paperwork completed within deadlines, track each background check to ensure satisfactory completion, and upload documentation to HRIS.
- Assist with running reports, preparing presentations, and other special projects, such as engagement activities, employee communication, and research for international offices.
- Assist Benefits Specialist with projects related to employee benefits programs, fitness fairs, wellness talks and other miscellaneous projects.
- Proactively offer suggestions for process improvements, efficiency, and cost reductions.
- Conduct regular audits to verify the accuracy and compliance of HR file documentation, ensuring organizational integrity.
- Performs other duties as required.
Qualifications and Competencies:
- Bachelor’s degree; ideally in Human Resources, Business Administration, or related field.
- 2 years of professional experience in HR roles, with hands-on experience working with HRIS/ATS systems, ideally in an international nonprofit or an organization that boosts a multicultural environment and workforce.
- Ability to interact with employees at all levels and maintain professionalism
- Professional integrity and sense of responsibility and accountability
- Willingness to take initiative and work independently when needed
- Detail-oriented and organized, with the ability to manage multiple tasks and priorities effectively.
- Excellent interpersonal skills including oral/written communication, cultural awareness, and ability to work well in a multicultural environment
Technology:
- Demonstrated competency using Human Resource Information Systems (HRIS) and Applicant Tracking System; preferred experience in ADP and iCIMS
- Proficiency with MS Office Suite (Word, Excel, PowerPoint), Google Office
- Advantageous: The ability to create captivating visuals using Canva/Photoshop/Adobe Illustrator or Video Editing skills
Employee Support:
- Experience in addressing internal and external HR inquiries promptly and effectively, maintaining a high level of responsiveness
- Advantageous: Knowledge of relevant employment laws and regulations, such as ERISA, ACA, FLSA, and state-specific employment laws
Other:
- Proficiency with one of the RFA’s broadcast languages is a plus
- Experience in benefits administration is a plus
- Experience in managing content for HR website a plus
