    Position Summary

    The Intake Coordinator and Accessioning Archivist reports to the Assistant Director for Collections Management. The Intake Coordinator and Accessioning Archivist, in collaboration with the Director of Special Collections and other relevant staff, develop and uphold policies for a systematic program to accession archival materials. Their goal is to establish control over Special Collections and University Archives (SCUA) collections in various formats. This process aims to enhance the organization, description, and accessibility of materials for users, prioritizing effective management and availability within prudent and feasible limits The position leads the program’s intake and pre-accessioning operations, coordinates the complex administrative and logistical operations that facilitate intake of archival materials acquired by University Libraries Special Collections, and accessions materials of various format, size, and complexity (including completing full archival processing at the time of accession). The Intake Coordinator and Accessioning Archivist directs the work of staff and student employees engaged in this work.

    The Intake Coordinator and Accessioning Archivist utilizes their archival accessioning and/or processing experience, their thorough knowledge of archival standards and best practices, and
    their experience effectively leading and executing complex projects to lead intake and pre-accessioning operations. During the intake and pre-accessioning process, the Intake Coordinator and Accessioning Archivist receives and inspects incoming materials; coordinates curatorial review; completes archival review (identifying and documenting provenance, arrangement, and description status and needs); and completes programmatic review (archival supply needs assessment, student work assessment, creation of workflow tracking documentation). The Intake Coordinator and Accessioning Archivist establishes pre-accessioning records, completes provisional inventories, and performs initial rehousing of materials.

    The Intake Coordinator and Accessioning Archivist also coordinates the complex administrative and logistical operations that facilitate archival accessioning, including communicating directly with donors, shippers, and vendors to plan and schedule the arrival of materials, and coordinating with donors and partner units to prepare and complete legal and gift paperwork for donated materials. Additionally, the Intake and Accessioning Archivist manages the storage spaces for pre-accessioned materials, including assigning temporary storage locations and maintaining overall organization and inventory.

    This position typically requires the ability to safely move carts and book/flatbed trucks loaded up to 100 pounds; lift and bend with boxes or volumes weighing up to 40 pounds; carry large/awkward map carriers; climb and reach on step stools and rolling ladders; handle dollies and book/flatbed trucks.

    Minimum Requirements

    • Master's Degree in Library/Information Science (MLIS) from an ALA-accredited institution, or equivalent terminal degree in which coursework has focused on the intellectual control and organization of archival collections.
    • Work experience accessioning, arranging, and describing personal papers, external organizations' records and institutional records in both analog and digital formats.
    • Four years technical experience working in Archives.

    Professional Competencies

    • Knowledge of appraisal of manuscripts and archives.
    • Knowledge of digital collections accessioning, data migration, and/or digital curation.
    • Knowledge of nationally accepted archival standards for description, such as Describing Archives: a Content Standard (DACS) and RDA.
    • Familiarity with archival or record center principles and operations.
    • Excellent analytical, time management, and organizational skills.
    • Demonstrated ability to meet deadlines, manage regular workflows, and coordinate, schedule, and handle heavy and complex workloads.
    • Ability to support and enhance a diverse learning and working environment and demonstrated commitment to diversity, equity, and inclusion.
    • Ability to work creatively, both independently and collaboratively.
    • Demonstrated ability to effectively engage and network with archival colleagues through professional associations and conferences.

    Preferred Qualifications

    • Experience with APIs and other related programming languages.
    • Experience with ALMA/PRIMO and ArchivesSpace.
    • Knowledge and experience creating MARC records for archives and manuscript collections.
    • Experience supervising, overseeing, or leading the work of and/or volunteers.
