Property Management Assistant

Position Overview:

We are seeking a highly organized and detail-oriented Property Management Assistant to join our dynamic team. The successful candidate will support our property management team in the day-to-day operations of managing residential and commercial properties. This role requires excellent communication skills, a strong customer service orientation, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

• Tenant Relations:
• Assist in responding to tenant inquiries and complaints promptly and professionally.
• Help coordinate maintenance requests and follow up to ensure timely resolution.
• Support tenant onboarding processes, including lease preparations and move-in/move-out procedures.
• Administrative Support:
• Maintain and update property management databases and records.
• Prepare and distribute notices, letters, and other communications to tenants and vendors.
• Assist in preparing monthly reports on property performance and occupancy rates.
• Property Maintenance:
• Schedule and coordinate regular property inspections and maintenance activities.
• Liaise with vendors and contractors to ensure timely and quality service delivery.
• Monitor and manage inventory of property supplies and equipment.
• Marketing and Leasing:
• Assist in conducting property tours and showing units to prospective tenants.

Qualifications:

• High school diploma or equivalent
• Previous experience in property management or a related field is highly desirable.
• Proficiency in property management software and Microsoft Office Suite.
• Strong organizational and time management skills.
• Excellent verbal and written communication skills.
• Ability to handle sensitive information with confidentiality and professionalism.
• Customer service-oriented with the ability to handle challenging situations with tact and diplomacy.
• Valid driver’s license and reliable transportation required.

Working Conditions:

• This position typically works in an office environment with occasional visits to property sites.
• Some weekend or evening work may be required to accommodate tenant needs or property events.
