    Position Description

    This position is responsible for leading the trade execution team. The execution team handles the export sales and import purchases of agricultural products shipped by container, bulk vessel, truck modes of transportation. The position is also responsible for the oversight of the day-to-day activities of Trade Compliance, including the development of policies and procedures, and implementing training programs. It requires strong communication and coordination skills, the ability to negotiate, and the ability to accurately maintain records and analyze data in a fast-paced environment. You must be highly organized, detail-oriented and be able to manage overlapping projects while keeping track of deadlines. This position may require some after hours and weekend action. Applicant must be meticulous, organized, a team player, and able to work efficiently under time constraints.

    Primary Duties and Responsibilities

    Include the following. Other duties may be assigned.

    • Create and maintain an effective compliance program.
    • Work with other functional areas of the company to ensure compliance requirements are upheld.
    • Monitor compliance activities.
    • Proficient with export and import trade compliance processes, policies, and controls.
    • Review/audit export and import transactions to ensure accuracy and compliance with regulations.
    • Timely escalations of any client issues.
    • Handle detailed and time-sensitive communications with international customers and suppliers.
    • Prepare and review documents. Ensure necessary documentation is provided on the inception of export shipments to expedite cargo and mitigate challenges.
    • Work with banks on documentary collections, letter of credit transactions, and other items with close attention to detail.
    • Coordinate the resolution of issues involving collection of payments, claims, and customs clearance, while maintaining a healthy supplier-buyer relationship.
    • Coordinate container bookings as required. Monitor booking activity; updates, rolls, cancelations, or diversions as needed.
    • For source loaded product, coordinate shipments from the warehouse dock to destination.
    • Work closely with trans-loaders, providing booking orders, monitoring activity, and updating changes as needed. Generate, distribute, and maintain booking information to key stakeholders.
    • File for export reporting (ITN) in ACE system (Government Site); and update active bookings if necessary. File shipment details with US Customs (AES) as needed.
    • Review and approve various vendor freight bills.
    • Review vessel charter parties, monitor vessel schedules and transit of cargo.
    • Communicate with vessel owners and agents regarding assigned vessels when needed.
    • Prepare ship load orders, document instructions, and calculate vessel laytime.
    • Work closely with Accounting and Credit Management.
    • Process export receivables and payables.
    • Prepare internal and USDA and other reports as needed.
    • Prepare, maintain, and complete shipment activity files.
    • Process shipments through the internal ERP system.

    Requirements

    • Strong leadership skills and proven experience.
    • Experience in customer service, with excellent communication skills and the ability to interact with all levels within the company, and with vendors and customers (verbally and in writing).
    • Knowledge of international laws and regulations preferred.
    • Highly organized with the ability to prioritize and manage multiple tasks with deadlines.
    • Strong conceptual and problem-solving skills to evaluate problems and apply knowledge to identify appropriate solutions; ability to resolve issues effectively and efficiently.
    • Proficient in the Microsoft Office Suite.
    • Ability to be flexible and adaptive to successfully achieve the function of the position.
    • Good work ethic (team environment, both safe and quality), efficient and willingness to perform all required work with good attendance.
