Summary
The Portfolio Coordinator, Commercial Services has primary responsibility for processing international sales orders (Americas) and completing associated documentation in a timely and accurate manner. This position is required to uphold the Company’s order processing standards, ensuring that distributor partners understand and participate in corporate order policies and procedures.
The Portfolio Coordinator, Commercial Services works out of our manufacturing facility in Auburn, KY, and reports to the Supervisor, Commercial Services.
Responsibilities

Receive and process sales orders, striving for 100% accuracy in order entry and in order fill rates, documentation, certifications, shipment, and arrival times.

Coordinate systematic solutions, enhancements, and forecasting to streamline the order entry/ distribution process for applicable distributor partners.

Develop and maintain successful professional working relationships with relevant corporate departments and distributor partners.

Develop and execute departmental strategies for commercial line services, procedures, and processes that will drive efficiencies and process improvements.
- Provide ongoing support to Distributor partners by providing the highest quality Customer service through direct and indirect communication.

Supporting departmental processes and interaction with internal and external stakeholders.

Assist the team with and/or lead foreign customs documentation, transportation, and working with Customs officials to clear delays and obtain release of outbound freight.

Maintain all internal record keeping in accordance with established corporate practices.

Resolves any shipment issues related to tracking, shipment errors, freight costs etc.
- Willingness to adhere to strict health & safety, quality, food safety and environmental standards.

Promote awareness and understanding of the Company’s policies, practices and procedures related to health and safety, food safety, and the environment.

Maintain current knowledge of distributor programs to ensure that order entries comply with order deadlines and ensure customers’ credit is in good standing before orders are shipped.

Prepare reports and/or manage special projects, as directed or assigned.

Requirements

High school diploma or equivalent, post-secondary education in Business or related field considered an asset.

Minimum 3 years’ related work experience, providing opportunity to develop logistical knowledge and skills in a supply chain environment.

Exceptional customer service orientation and effective communication skills.

Fluent ability to communicate effectively in English, both verbally and in writing. Spanish working language knowledge is considered an asset.

Self-directed with exceptional interpersonal skills, with ability to work efficiently and effectively either individually or as part of a diverse team environment.

Solid project planning skills with ability to lead and present project outcomes.

Excellent computer literacy, including effective working skills with MS Office suite and ERP (Enterprise Resource Planning) systems.

Ability to respect and maintain matters of a confidential nature, including information regarding sales transactions and customer base; high level of integrity and accountability.

Exercises judgment within broadly defined practices and policies in selecting methods, techniques and evaluation criteria for obtaining results.
