Position Summary
The Investment Administration Specialist plays a key role in supporting the Investments Team by collecting and maintaining the data required to report on and administer the 150 investment accounts of the foundation. The position assists with liaising with our investment managers, fund administrators, consultant, software vendors, and custodian banks.
Boundaries
Responsible for reconciling reporting of the foundation’s investments by our custodian banks; maintaining data and assisting in developing reporting in the investment management system (Solovis); and reviewing, maintaining and tracking data from investment statements, performance reports and cash flow activity. This is critical to the accuracy and integrity of investment-related data used in all reporting and decision-making, as well as in other processes, such as the allocation of monthly earnings and fees, and the annual audit.
Authority
The Investment Administration Specialist reports, and serves as backup, to the Manager of Investment Administration.
Role
Maintains, confirms accuracy and resolves discrepancies of data in monthly/quarterly statements and other documents from the foundation’s investment managers, custodian banks, consultant and other partners.
Prepares investment-related reports and schedules for annual financial reporting, audit preparation, interim audit, and Form 990 tax filings.
Organizes and maintains complete and up-to-date electronic library.
Tasks
Ensures reporting and documentation from custodial banks, investment managers/advisors and consultant are retrieved from their respective sources and stored electronically (250 documents on a monthly basis and another 150 on a quarterly basis).
Prepares, tracks, and reconciles information related to various investment activity, including valuation updates, fees, major cash flows, transactional and private assets activity, on a monthly basis. Maintains contact, portal and authorized signers’ information.
Compiles and distributes quarterly Investment Committee meeting docket materials.
Assists with general administrative support for the Investments Team and other ad hoc projects when needed.
Competencies & Qualifications
Minimum 2 years of experience in financial services or investment operations
College degree with course work in Finance, Investments, Accounting or Business preferred.
Must be highly organized, efficient, detail-focused, and comfortable with complexity.
Strong work ethic and demonstrated ability to learn new systems.
Highly responsive and conscientious team player with a positive attitude
Excellent database/technical skills and comfortable using tools for online work
Audit preparation experience highly preferred
Basic understanding of investment types (particularly alternative investments)
Basic understanding of accounting and FASB requirements
Excellent communication and interpersonal skills
Having an experience in the following areas is a PLUS:
Alternative investments
Experience with investment database software
Procedure writing and flow charting.
Intermediate to advanced computer/software skills, including Microsoft 365 (Outlook, Excel, & Teams) and Zoom.
Ability to learn, navigate and manage online platforms, including Solovis, Fluxx, QlikSense/QlikView, Smartsheet, and Salesforce
