POSITION SUMMARY AND DESCRIPTION
The Accounts Receivable and Vault Supervisor, also known as the Vault and Payroll Lead, plays a pivotal role in ensuring the efficient and secure operation of the Vault and managing incoming cash accounts. This position operates within the accounting department, collaborates with accounts payable, and reports directly to the Finance Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES
•Oversee accounts receivable tasks such as generating invoices, recording payments, and resolving discrepancies.
•Supervise and manage Vault operations across the Main Chalet, Grand Avenue Chalet, and Adventure Park, including the hiring, training, and scheduling of vault staff. Responsibilities include preparing cash register banks, signing them out to staff, and receiving them back after use.
•Maintain daily vault operations, including preparing banks, balancing transactions, verifying card transactions, and preparing deposits.
•Train staff to ensure adherence to procedures for opening and closing bank reconciliations.
•Reconcile all banks accurately to prevent cash discrepancies. Address any errors with the appropriate level of scrutiny and ensure corrective measures are taken.
•Apply critical thinking skills to troubleshoot and resolve issues as they arise.
•Foster a customer-friendly and positive environment in all interactions.
•Ensure strict adherence to vault security protocols and maintain accurate records.
•Conduct weekly vault counts and resolve any discrepancies in daily transactions.
•Adjust work hours around significant cash handling events, ensuring availability during critical times and offering flexible contact methods for support.
MINIMUM QUALIFICATIONS
•Fluency in English, with the ability to read, write, and speak clearly.
•Capable of making independent decisions based on established policies and demonstrating sound judgment.
•Experience in cash handling and strong computer proficiency.
•Exceptional organizational skills and attention to detail.
•Reliability and flexibility, with the ability to work weekends and adapt schedule as necessary.
•Adequate sight/hearing senses or use of prosthetics that allow for full functionality in these areas.
DESIRED QUALIFICATIONS
•Experience with In Touch systems.
•Proficiency in spreadsheet creation and management, especially in Excel.
PHYSICAL REQUIREMENTS
•The role is primarily sedentary but requires the ability to perform physical tasks such as lifting files, opening filing cabinets, and occasionally bending or standing as needed.
