Position Summary
The Grant Contract Manager will be primarily responsible for the grant budgeting and overall administration of CLT’s federal and state grants and contracts. Duties include associated reporting, monitoring of spend, processing of amendments and billing of the grant contracts. This position reports to CLT’s Chief Financial Officer and works closely with Clinical Services and other key teams to ensure effective and efficient coordination with grant compliance on all levels.
Essential Functions
- In coordination with CLT senior staff, develops grant budgets and reviews grant contracts (currently includes HOPWA Boston, HOPWA-Lawrence, Department of Public Health, and Housing First) to comply with funder terms and conditions. Performs pre-award responsibilities including budget submission.
- Works to monitor spending and conducts internal budget meetings for tracking grant spend and requests amendments as needed.
- Helps align staff with grant program requirements through financial analysis, management support, and guidance, as well as cost allocation and expense coding.
- Partners with grant program leads to build and strengthen capacity and ensure streamlined operations.
- Coordinates between grant program teams and outside agencies for all grant reporting needs and maintains annual compliance calendar to ensure all deadlines are met.
- Maintains positive communication with internal and external stake holders.
- Maintains internal reporting records and archives related to grant reporting.
- Works to prepare grant billing in a timely and accurate manner and submits invoices for grant reimbursement. Monitor payment and follow up to resolve issues.
- Reviews and perform accountings entries as needed, mostly related to Accounts Receivable for Grant Billing.
- Assist with other compliance and reporting as needed.
Minimum Qualifications
- A passion for providing assistance to those in need.
- Bachelor’s degree in accounting or business administration with five or more years of professional experience.
- Familiarity with accounting software and monthly accounting processes.
- Three or more years of experience with Federal and State grants.
- Ability to organize, plan and perform activities with minimum supervision to meet timelines.
- Proven record of accuracy in completing and reviewing data.
- Excellent organizational and time management skills.
- Adept in Microsoft Word and Excel.
Preferred Experience and Skills
- Experience with Federal and State grant tracking, billing and administration.
- Experience with Yardi
- Experience with EIM/ESM and other government billing systems
- Familiarity with the Department of Public Health
- Candidates with lived experience of homelessness, substance use disorder, or issues common to the client populations we serve are encouraged to apply.
Salary Range: $75,000 -$80,000
Hours Per Week: 40 Hours (full time), in office.
