YOUR IMPACT
As a Facility Coordinator at OpenText, you'll play a crucial role in ensuring the smooth operation of our Provo office. Reporting to the Facilities Management and Operations team, you'll be the main point of contact for various departments, vendors, and contractors.

WHAT THE ROLE OFFERS
- Support daily office operations, including reception coverage, welcoming visitors, managing phone calls, and maintaining office, cleaning, and kitchen supplies.
- Coordinate mailroom duties, including distributing incoming mail, preparing outgoing shipments, and handling interoffice mail.
- Utilize ERP software to manage vendors, track financial approvals, submit invoices, and maintain project records.
- Foster strong relationships with internal stakeholders, vendors, and building management to ensure efficient facilities operations.
- Maintain the professional appearance and organization of the office, overseeing cleaning services and routine maintenance.
- Perform administrative tasks such as managing meeting room calendars, preparing purchase orders, and updating databases.
- Coordinate new hire seating assignments, internal staff moves, and assist with event coordination and setup.
- Ensure compliance with health and safety regulations, participate in safety programs, and coordinate evacuation drills.
- Actively contribute to a positive candidate experience and assist with additional projects as needed.
WHAT YOU NEED TO SUCCEED
- Minimum 5 years of experience in an office services role or administrative support position.
- College or university degree / certificate or equivalent work experience is an asset.
- Excellent verbal and written communication skills.
- Strong customer service focus with the ability to interface with all levels of the organization.
- Exceptional attention to detail, organizational skills, and follow-through.
- Proficiency in MS Office Suite (Word, Excel, Outlook, Teams) and ability to learn new software quickly.
- Ability to prioritize tasks, recognize critical items, and execute with decisive action.
- Discretion in handling confidential information.
- Capable of multitasking in a fast-paced environment and working collaboratively in a team.
- Working experience with shipping and courier services.
- Physical capability to lift up to twenty pounds.
