Lease Administrator prepares leases/subleases and other related documents. Maintains and updates the lease activities in a database. Being a Lease Administrator maintains relationship with the landlords and occupants. Ensures accuracy of documents and financial records. Additionally, Lease Administrator requires a bachelor's degree. Typically reports to a manager or head of a unit/department. The Lease Administrator gains exposure to some of the complex tasks within the job function. Occasionally directed in several aspects of the work. QUALIFICATIONS:

· A high school diploma and three months related experience and/or training or equivalent combination of education and experience.
· Superior organizational skills are required for this job and managing the work load among parish, Shannon Fund, Marion Price and Charles Baber Cemetery duties.
· Database and accounting skills are necessary.
· Ability to access priorities (time management).
· Must possess excellent interpersonal skills and presentation skills.
· Must have a high energy level with a strong results-oriented, achievement focused work ethic.
· Confident using technology and software (Microsoft Office, Adobe products, QuickBooks, and church management software)
· Be faithful and teachable.
· Confidentiality must be adhered to and all HIPAA rules must be followed.
· Must successfully complete diocesan training of Safeguarding our Children and all other state clearances and references as required by law.
RESPONSIBILITIES
· To be able to read, analyze and interpret financial reports and legal documents.
· Ability to respond to common inquiries or complaints from parishioners or members of the community.
· Ability to effectively present information to the Senior Warden and Vestry. Confidentiality on all levels, according to HIPAA rules, must be followed.
· Skilled use of Microsoft Office software, QuickBooks software, internet, and social media applications
· Must have ability to collect data, establish facts, and draw valid conclusions.
· Ability to interpret a variety of instructions furnished in written, oral or email form.
· Prepare a one-page weekly announcements for insert in bulletin.
· Sunday worship bulletin: Update bulletin, adding lessons, music, etc. with Vestry and music director input. Edit and produce drafts for revisions by Thursday afternoon. Duplicate and fold, collate with inserts as necessary.
· Order altar flowers and keep record of flower and wine donations.
· Parish website: update as needed with fresh content, documents, photos, and other information. Keep weekly information fresh, as requested.
· Take phone calls, check email first thing in the morning and several times throughout the day. Maintain greeting, track voicemails and give to appropriate people in timely manner.
· Sort mail and distribute mail daily.
· Deposit of weekly income at bank, record donations and pay bills in a timely manner.
· Administrative support for monthly Vestry meetings. Receive vestry minutes monthly from Vestry Secretary and save in computer file. Meet with Treasurer to prepare monthly report.
· Prepare vestry member folder each month prior to vestry meeting.
· Prepare a bimonthly parish newsletter and calendar. Send in email, regular mail and post on website.
· Prepare financials for Marion Price meetings and Charles Baber Cemetery meetings.
· Prepare payroll of parish, Marion Price Trust and cemetery employees.
· Complete taxes for federal, state and local taxes
· Parish database: update entries as needed.
· Prepare Christmas and Easter mailings for parishioners.
· Building Use: Refer to parish hall, funeral, wedding, chapel and church policies.
· Order office supplies, worship and altar supplies as needed; monitor office supplies and budget.
· Monitor maintenance of office equipment, scheduling servicing as needed; order parts as needed.
· Perform other clerical related duties as requested and assigned.
· Parish database: update entries as needed.
· Annual meetings: publish all documents for the parish annual meeting, including taking minutes of the meeting.
· Order parish envelopes
· Parochial report: Assist the budget committee in computing data. Maintain files associated with report.
· Update, print and distribute parish directory.
· Send out giving statements and year-end statements.
· Prepare W2’s and 1099’s.
· Prepare letters to students, financial statements and collect data for Shannon Fund.
