    GENERAL DESCRIPTION / PRIMARY PURPOSE:

    Ensure timely and accurate preparation, approval, delivery, recording and renewals of approximately 400 documents covering land leasing and subleasing, harvesting, labor contracting and growing operations for all of the Company's agricultural operations, both internal and external, in all of our sourcing areas in the U.S. and Mexico. Work closely with finance and accounting departments to ensure proper and accurate recording of costs related to such contracts. Maintain friendly and courteous relationship with all internal and external parties.

    MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION:

    * Responsible for all aspects of Dole's Landlord/Leaseholder processes.
    o Prepare new and renewal lease and sublease drafts as directed.
    o Follow the document approval process for internal review and approvals, as well as internal and external signatures.
    o Ensure timely and accurate property tax payment processing.
    o Ensure timely and accurate rent payment processing.
    o Ensure timely and accurate other (i.e. water bill) payment processing and invoicing.
    o Maintain contact records for all landlords, including change of land ownership, address updates, death of landlords, new vendor requirements, etc.
    o Track incoming rent and other payments from subleases.
    o Invoice sublessees for rent and utilities, as necessary.
    o Request landlord consent for subleases as required.
    o Represent Dole in a professional manner with landlords with every communication, whether by phone, email or written correspondence.
    o Deliver documents to outside parties via email, mail or hand delivery by Ag Ops team member and process documents as they are received. Track the status of each document and follow up to ensure they are returned in a timely manner.
    o Save/file fully signed documents following Dole's record retention policy.
    o Distribute copies of fully executed documents to Ag Ops team members as required.
    * Prepare Fresh Pack and Value-Added Growing Contracts, Harvest Contracts, Farm Labor Contracts and other assorted agreements for all seasons and growing areas accurately and within due dates.
    o Work with the Ag Ops team members to collect accurate information to draft the new agreements, including any changes to language from prior year.
    o Follow the document approval process for internal review, approvals and signatures.
    o Deliver documents to outside parties via email, mail or hand delivery by Ag Ops team member and process documents as they are received. Track the status of each document and follow up to ensure they are returned in a timely manner.
    o Save fully signed documents following Dole's record retention policy.
    o Distribute copies of fully executed documents to Ag Ops team members as required.
    o Review and maintain the External Labor Contract License process and ensure proper retention of documentation to include notification to all required departments.
    * Other duties as assigned.


    Required Skills

    JOB SPECIFIC COMPETENCIES:

    * 3 - 5 years of experience working within an agriculture production environment
    * Knowledge of agricultural harvest preferred
    * Excellent interpersonal and communication skills
    * Strong organizational skills with high attention to detail and ability to follow processes
    * leadership and analytical skills demonstrating strong customer focus
    * Ability to foster productive relationships, contribute to team results and effectively communicate internally plus externally
    * Must be able to process a large volume of documents. Ability to effectively follow up with internal and external customers is required
    * Strong computer skills in Microsoft Word, Excel, PowerPoint and AS400 required
    * Knowledge of QuickBase, Laserfiche, & DocuSign preferred
    * Results-focused with strong initiative and drive to understand the department connections both internally in Ag and externally throughout the rest of Dole
    * Ability to work independently with strong analytical and decision-making skills and ability to solve complex problems
    * Must maintain regular and acceptable attendance, follow directions, interact well with co-workers, understand and follow posted work rules/procedures

    PHYSICAL REQUIREMENTS:

    • While performing the duties of this job, the employee is regularly required to sit for long periods of time; use hands to handle or feel objects, tools, or controls; talk or hear. The employee must occasionally lift (including overhead) up to 15 lbs.

    WORK HOUR & TRAVEL REQUIREMENTS:

    * Ability to work beyond normal business hours, weekends and some company holidays as needed.
    * Will require extended hours work coverage as needed and given business environment and conditions

    • Degree in related field or equivalent work experience

    PAY RATE:

    • $75,000 - $80,000 Annually
