The legal assistant provides support to an assigned attorney(s), this person would be responsible for finalizing appellate briefs, including generating the table of contents and table of authorities and filing in various State and Federal Appellate Courts.
Duties include:
· Prepares correspondence and other legal documents from electronic draft.
· Communicates with clients in a professional manner over the phone, in person and electronically; completes conflict checks prior to opening client file or having any substantive conversations with potential clients; prepares and sends engagement letter and appointment schedules to clients.
· Maintains electronic client files in File site; organizes client data and information.
· Opens, reads, and prioritizes mail; comprehends and may act on all legal correspondence.
· Manages attorney Outlook calendars and adjusts, as necessary.
· Serve as liaison with courts, court runners and process servers to insure timely filing and service.
· Files pleadings manually and/or electronically with courts as required.
· Dockets in Perfect Law using SYNC to calendar in Outlook.
· Works in collaboration with paralegal and/or attorneys to manage case and projects efficiently and monitor tasks and deadlines.
· Actively participates as part of a team of secretaries providing coverage and/or backup coverage for multiple attorneys.
· Enhances firm reputation by always maintaining professionalism.
· Prioritizes tasks in a deadline driven environment.
· Candidate must have a clear understanding and/or experience with the AAA website and must be able to set up an organized and efficient filing system on each case.
· In this role, keen attention to detail – “quality is much more important than quantity”.
· Performs other related duties as assigned.
Supervisory Responsibilities:
Required Skills/Abilities:
· Experience with Perfect Law and I-Manage/File site preferred.
· Experience with Westlaw and Drafting Assistant.
Physical Requirements:
· Good hearing; able to hear well enough to communicate with clients via phone.
· Good vision and ability to read small print or scanned/copied documents.
· Cognitive ability to remember and recall data quickly and accurately.
