Licensing Clerk assists in maintaining records, compiling information, and submitting forms necessary for agent licensing. Performs routine clerical duties, such as filing forms and other records from licensed agents and applicants according to an established system. Being a Licensing Clerk updates database, inputs data as required. Typically requires a high school diploma or equivalent. Additionally, Licensing Clerk typically reports to a supervisor or manager. The Licensing Clerk works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job.     ESSENTIAL JOB RESPONSIBILITIES:
    Recruit potential foster parents by setting up events with the direction of the Program Director
    Partner with other Hope Hill Licensing Specialist to ensure consistency across the organization and to optimize Foster Parent experience.
    Screening Applicants to become foster parents.
    Conducting interviews of potential foster parents.
    Initial training for potential and current foster parents
    Ensure parents meet all training requirements set forth by state.
    Knowledge of available training resources for Foster parents.
    Relicense current foster parents.
    Processing background and reference checks at designated times.
    Assisting in coordination and leading pre-service orientation.
    Conducting and writing Home Studies for potential foster parents and submitting them to the Program Director for review.
    Assist with any arising problems of current foster parents and development of plan of corrections.
    Maintain records/charts per regulatory and company policies along with periodic chart checks.
    Provides timely and complete documentation including for home studies and recording information into the health record system
    Plan and conduct individual and/or group foster care orientation meetings with prospective families as needed.
    Plan and conduct education classes as needed. This includes the development of a family-specific education plan if needed.
    Submit monthly reports on recruitment activities in the region(s)
    Conducting quarterly in home health and safety reviews.
    Assisting with any other duties as assigned by supervisor or program director.
    Represent Hope Hill professionally in the community with all other agencies (i.e. schools, court system, mental health, department of social services, etc.)
    Keep current on all required trainings (CPR, first aid, best practices, medication administration, etc. as required by state rules).
    Complete incident reporting procedures in a timely manner and as determined by state guidelines.
    Report critical concerns and problems to director in a timely manner.
    Offer recommendations and solutions for issues regarding foster/respite homes
    Provide coverage on-site or as assigned by the needs of the agency.
    Attend staff meetings, planned in-service training and any other regular or assigned meetings.
    Abide by and implement all the policies, procedures, regulations, and standards that govern the agency.
    Maintain required level of insurance.
    Respond to after hour calls in accordance to on-call procedures.
    Maintain required files to be in compliance with state and agency guidelines.

    CREDENTIALS:
    A person employed as Licensing Specialist shall possess the following qualifications:
    Possession of a Bachelor’s Degree in a Human Services Related Field.
    Preferred Foster Care experience.
