Litigation Docket Clerk tracks important legal and filing deadlines for designated clients and cases.   • Hubbard City Police Department is announcing a job vacancy for the position of Part-Time Police Data Clerk. Police Data Clerks earn $15 per hour with no other amenities or benefits of any kind. Police Data Clerks work a maximum of 125 hour per month, but normally 20 hours per week, between the hours of 8 am and 4 pm, Monday thru Friday. Work schedules are established by the Hubbard Police Department Administration.

    Candidates should have a background in general office and clerical work, a working knowledge of Microsoft Office and positive people skills. In addition, our clerks handle administrative phone calls, assist in the budgetary process, compile and generate statistical reports, respond to public record inquiries, and perform other duties that are from time to time assigned by the administration.

    Major duties for Police Department:

    • Provide effective customer service at clerk window and on phone calls made to the records department.
    • Perform routine typing, word processing, spreadsheet creation, error correction, accurate data entry and faxing.

    Maintenance of computer and other office Equipment:

    • Placing service calls
    • Working with the service technician virtually

    Purchasing of departmental operating supplies:

    • Regularly check the department's inventory of first aid, office supplies, gloves, and janitorial supplies.
    • Request quotes
    • Collect vendor documents, as in the w-9s tax form, a liability insurance certificate, and a workers compensation certificate.

    Generate and maintain statistical and other reports:

    • Process daily timesheets, Bi-weekly Payroll, and keep accurate count of Accumulated Time
    • Routine filing and organization of records.
    • Maintain proficiency in applying Ohio Public Records Law to record requests - performance measures, and reporting software, as well as various audio and video technologies.
    • Respond to public records requests and other requests for service.
    • Process citation/arrest documentation to the appropriate court (County, Mayors and Juvenile).

    Process court ordered sealing and expungements:

    • This includes gathering incident reports, calls for service reports, affidavits, fingerprints, evidence, court documents, and detective's files.
    • Redact all individuals' identifications manually and electronically in the databases and other computer applications.
    • Make copies of all original recordings prior to redaction.
    • Redact all audio and video that could identify the individual.

    Process and deliver departmental mail:

    • Date stamp all incoming mail and place in individual mailboxes
    • Process certified mail with necessary forms and postage
    • Maintain fleet maintenance records / Prepare monthly financial reports to administrators and City Council
    • Organize personnel records.
    • Assist in the training of new personnel.
    • Maintain records retention schedule and complete records destruction as allowed by law.

    Receive training in person or virtually:

    • State required certification
    • New computer applications
    • Changes in state, county, and local laws and ordinances for public records
    • Maintain a current Notary Public certification for use in filing of criminal charges and records documentation.

    End of month budgeting for police department and range:

    • Close purchase orders that are no longer of use
    • Prepare quarterly requisition blankets.
    • Yearly Inventory for police department and armory

    Job Type: Part-time

    Pay: $15.00 per hour

    Expected hours: No more than 20 per week

    Schedule:

    • Monday to Friday
