Job Overview:
We are seeking a highly organized and detail-oriented Personal Assistant to provide comprehensive administrative support. The ideal candidate will be responsible for managing daily tasks, including light bookkeeping, handling customer inquiries, managing communications, and maintaining a customer database. This role requires excellent multitasking abilities, strong communication skills, and a proactive approach to problem-solving.
Key Responsibilities:
- Light Bookkeeping:
- Maintain accurate financial records, process invoices, and manage expenses.
- Assist with monthly financial reporting and reconciliation of accounts.
- Work with accounting software (e.g., QuickBooks) to manage finances.
- Customer Support:
- Answer and return phone calls and emails in a professional and timely manner.
- Handle customer inquiries, troubleshoot issues, and provide excellent service.
- Respond to customer requests and concerns, escalating issues as necessary.
- Communication Management:
- Manage email inboxes, prioritize messages, and ensure all communications are addressed promptly.
- Schedule appointments, meetings, and coordinate calendars.
- Draft and send out correspondence on behalf of the employer.
- Database Management:
- Update and maintain customer information in the CRM system.
- Ensure data accuracy and handle customer follow-ups.
- Generate reports and insights from customer data when needed.
- Administrative Tasks:
- Perform general office duties, such as filing, organizing documents, and ordering office supplies.
- Assist with special projects as required.
Requirements:
- Proven experience in administrative support, bookkeeping, or customer service roles.
- Strong proficiency with accounting software - QuickBooks and CRM systems.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks and manage time effectively.
- High level of attention to detail and problem-solving skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Preferred Qualifications:
- Previous experience working in a customer-facing role.
- Familiarity with small business operations.
- Ability to work independently and handle sensitive information with confidentiality.
