  • GENERAL SUMMARY:

    Under the direction of the Director of Major Gifts, the Major Gifts Officer identifies new major gift prospects to increase the support and interest of annual donors. The Major Gifts Officer also assists in aspects of campaign and planned giving management along with spearheading events in relation to these fundraising efforts. The Major Gifts Officer provides a high level of donor experience and works collaboratively with museum staff to ensure the PMA’s success in building strong and long-lasting constituent relationships.


    ESSENTIAL JOB FUNCTIONS:

    • Manages a portfolio of 150 donors and prospects in varying stages of prospecting and stewardship including identifying, cultivating, and soliciting.
    • Maintains complete and timely records of interactions with prospects and members; may require some travel.
    • Conducts research and prepares briefing documents ahead of donor meetings for the Director of Major Gifts, Senior Deputy Director, Advancement and Sustainability, and the PMA Director.
    • Drafts letters and fundraising proposals to solicit renewed and new donors; continually cultivates annual donor relationships.
    • Assists the Director of Major Gifts with the execution of the major gifts marketing plan, including special mailings, a website presence, and other special events for key constituencies.
    • Develops and executes plans and strategies leading to solicitations; manages gift correspondence, including timely acknowledgments, pledge payment reminders, pledge agreements.
    • Liaises with the data operations team to maintain PMA’s donor database and to gather reports in accordance with development needs.
    • Ensures organized, accurate, and detailed systems and processes for gift documentation.

    EDUCATION & EXPERIENCE:

    Undergraduate degree with five years to seven years of experience in development preferred.


    QUALIFICATIONS:

    • Possesses strong portfolio management skills and proven frontline fundraising experience.
    • Knowledge of fundraising techniques, trends, and skills in all aspects of the development industry.
    • Ability to establish, maintain, and foster positive working relationships with a variety of individuals contacted in the course of work.
    • Excellent written and oral communication skills, including ability to embrace the PMA brand charter and style guide, and ability to communicate effectively in-person, over the phone, and via email.
    • Ability to multi-task and meet deadlines with attention to detail.
    • Working knowledge of fundraising database, Altru.
    • Ability to multi-task, organize work, and meet deadlines with careful attention to detail in a fast-paced, collaborative environment.
    • Competency in reporting on metrics and meeting ambitious goals.
    • Ability to handle sensitive and confidential information with discretion.
    • Working knowledge of estate planning; including but not limited to bequests, annuities, real estate, art, and trusts.

    • Supports programmatic initiatives related to PMA’s multifaceted inclusivity and diversity action plan, designed to promote inclusiveness, prevent discrimination, and create an organization that challenges and changes practices that present barriers.
    • Models exceptional customer service for all visitor locations, including gallery spaces.
    • Complies with all PMA safety rules and procedures.

    OTHER REQUIREMENTS:

    • Ability to pass a criminal background check.
    • Must be available to work evening and weekend hours as needed, including attendance at programs and events.

    WORKING CONDITIONS & PHYSICAL DEMANDS:

    Most work is performed in a normal office environment not subject to extremes of noise, temperature, odor, etc. Operates computer, printer, photocopier, typewriter, fax machine, laminating machine, and other office equipment. Work involves extended sitting, computer use, and small muscle tasks. Some regional and national travel may be required.
