POSITION SUMMARY:
We are currently hiring a Vendor Coordinator who will be responsible for working directly with vendors to place orders, manage communication and timelines to meet or exceed service level expectations. A Vendor Coordinator, who would be successful in this role, is someone who is detail oriented, technologically savvy, has ability to multi task, and ability to work in a fast paced environment.
RESPOSIBILITIES:
- Utilize computer software to generate and coordinate purchase orders for routine and impromptu purchases from vendors
- Coordinate multiple projects while working effectively with internal teams and external vendors
- Responsible for checking vendor proofs.
- Ability to source solutions with alternate vendors ensuring requests stay on time and on budget
- Schedule delivery of the desired items and ensure that the purchase is properly documented
- Coordinate any necessary return of items and ensure proper credit is received
- Communicate with internal departments and staff to ensure all necessary staff are up to date on the status of orders needed for various projects
- Work with accounting department to resolve problems with invoices and set up accounts with new vendors
- Responsible for being the main point of contact within the company for any vendor inquiries or issues
- Manages extensive credit card statement for all prepay vendors, ensuring accuracy of invoices and payments.
- Responsible for regular reconciliation of cc statement, providing organized and accurate information for accounting
- Perform other duties as may be assigned
POSITION QUALIFICATIONS:
Education:
- Bachelor’s degree in Business or Management or High School diploma with equivalent degree experience
Work Experience:
- Required 1-3 years of production/print experience & sales support, purchasing, and customer service.
SPECIFIC KNOWLEDGE, SKILLS, ABILITIES, COMPETENCIES:
- Strong project coordination and prioritization skills
- Excellent understanding of Pace and knowledge of promo purchasing interfaces including ASI/esp Web technologies
- Good analysis and problem-solving skills with the ability to assess and communicate risks
- Working knowledge of MS Office Suite (Word, Excel and Outlook)
- Ability to thrive in a fast-paced environment
- Being available to be a part of client interaction to better understand expectations/goals/budgets
- Meeting deadlines while ensuring effective task management
- Must be detail oriented and able to catch spelling, color, image size, location errors on proofs
- Capable of working independently and quickly grasping business processes and procedures
WORK ENVIORNMENT:
- Working at computer and sitting for long periods of time. (sitting, talking, hearing)
- Limited Travel 0-10% (may require driving)
- Vision abilities are required to proofread at close vision and confirm correct color and focus.
