We are looking for a motivated Esthetician or Medical Spa Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Medical Spa Receptionist, you will be the first point of contact for Impeccable Beatz & Spa. Our duties include offering administrative support across the spa. You will welcome clients and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Medical Spa Receptionist, you should be friendly, approachable, and dependable. The ideal candidate should also have excellent oral and written communication skills and be able to organize their work using tools, like Google Docs and office equipment. Multitasking and stress management skills are essential for this position. This role requires working in shifts, so flexibility is a plus. Ultimately, a Medical Spa Receptionist’s duties and responsibilities are to welcome guests positively, ensure efficient and smooth day-to-day operations of our office and execute all administrative tasks to the highest quality standards.
Responsibilities
- Properly open and close spa each day according to Standard Operating Procedures.
- Greet, welcome and direct guests
- Organize and schedule all appointments including handling all guest intake forms
- Answer and direct phone calls as well as write and distribute emails
- Provide basic and accurate information in-person and via phone/email
- Research all products and services at Impeccable Beatz and Spa to be able to provide guests with detailed descriptions of spa treatments, packages, products, services, and hours of operation.
- Updating confidential client records pre and post treatment
- Ensure accurate records of payment, including cash, credit and digital payments.
- Receive, sort and distribute daily mail/deliveries
- Fulfillment of all orders! (pack and print labels)
- Develop and maintain a filing system
- Maintain contact lists, document guest information in electronic records as directed.
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Provides exemplary service and offers seamless experience to guests.
- Assist in all areas of spa operation as requested by management.
- Organize, clean and maintain all spa areas
- Assist Elaine or Kryss with personal matters and errands(for the business) within reason.
Requirements
- MUST be passionate about the aesthetics and beauty industry.
- Maintain complete confidentiality in all guest matters in accordance with company policy
- Excellent written and verbal communication skills
- Professional attitude and appearance
- Attention to detail and problem-solving skills
- Excellent organizational skills, multitasking and time-management skills, with the ability to prioritize tasks
- Knowledge of office equipment, management systems, and procedures including spa booking softwares
- Proficiency in MS Office(MS Excel, MS PowerPoint, etc.) or Google Office (Docs, Sheets, etc.)
- High School degree; additional qualification as an Administrative Assistant will be a plus

Pay: $17.00 - $22.00 per hour
Expected hours: 32 – 36 per week
Schedule:
- 4 hour shift
- 8 hour shift
- Monday to Friday
- Weekends as needed
