Meeting/Event Planner plans and organizes live or virtual meetings and events for an organization or external clients. Implements an event strategy to achieve objectives. Being a Meeting/Event Planner researches and recommends event venues. Coordinates meeting logistics, including attendee registration, transportation, accommodations, meals, and technology. Additionally, Meeting/Event Planner conducts rehearsals and system checks of all equipment and connectivity. Researches and maintains relationships with vendors for event support services. Coordinates budget planning and ensures that events stay within cost projections. Typically requires a bachelor's degree or equivalent. Typically reports to a manager or head of a unit/department. The Meeting/Event Planner occasionally directed in several aspects of the work. Gaining exposure to some of the complex tasks within the job function. Responsible for planning, scheduling, ordering, coordinating, and delivery of products through the complete production cycle. Works from engineering & operations guidance to establish production schedules & material allocation. Coordinates production plans to ensure materials are provided according to schedules. Provides input to engineering, operations & management to reschedule in case of business plan changes, labor and material shortages, backlogs and other potential schedule interruptions. Applies developed subject matter knowledge to solve common and complex logistical issues within established guidelines and recommends appropriate alternatives. Works on problems/projects of diverse complexity and scope. Exercises independent judgment within generally defined policies and practices to identify and select a solution. Facilitates information validation and supplies key information into team decision-making process. Ability to handle many unique situations. May seek advice in order to make decisions on complex logistical issues.
Responsibilities:
- Solicit input on a set cadence from all consumers of specialized materials
- Consolidate forecasted demand for all specialized materials from all sources
- Publish Forecast on set cadence
- Provide demand to various part suppliers
- Provide part suppliers with distribution & shipment details
- Provide clarifications and detail for Order Placement
- Coordinate with partners on timing of materials and parts deliveries
- Coordinate with all partners to resolve and allocate available material during shortages & delays
- Communicate shortages to various forecasters
- Assist in negotiating reductions in demand or securing increases in supply
- Trigger physical redistribution of existing materials among requesters as-needed
Orders & Inventory Management Coordinator
- General Expediter: Address needs and gaps real-time as they arise
- Communicate and coordinate with multiple factories & organizations
- Translate Forecasts into Orders & submit to factories
- Create Excel pivot tables and graphs
