Meeting/Event Planner plans and organizes live or virtual meetings and events for an organization or external clients. Implements an event strategy to achieve objectives. Being a Meeting/Event Planner researches and recommends event venues. Coordinates meeting logistics, including attendee registration, transportation, accommodations, meals, and technology. Additionally, Meeting/Event Planner conducts rehearsals and system checks of all equipment and connectivity. Researches and maintains relationships with vendors for event support services. Coordinates budget planning and ensures that events stay within cost projections. Typically requires a bachelor's degree or equivalent. Typically reports to a manager or head of a unit/department. The Meeting/Event Planner occasionally directed in several aspects of the work. Gaining exposure to some of the complex tasks within the job function.     The Planner performs a variety of independent and team activities in the areas of permitting, planning, and policy.  

     

    Reports to: Senior Vice President with direct supervision by Principal Planner(s)


    Duties and Responsibilities

    • Provide support to planners, engineers, and project managers through coordination, meeting attendance, document preparation, etc.
    • Manage smaller permitting projects including client coordination, managing permit processes, and completing billings/change orders with oversight from supervisor.
    • Prepare staff reports and present information at public meetings and hearings.
    • Research jurisdictional requirements, codes, policies, and project fees.
    • Find, maintain, and fill out jurisdictional forms and applications.
    • Submit permit forms and applications.
    • Assist with preparation of RFP/RFQ for planning/engineering projects.
    • Prepare GIS maps.
    • Assist, support, and take responsibility for individual tasks on long range planning and policy projects.
    • Attend pre-application, application, and pre-construction meetings as needed.
    • Attend client meetings and conference calls as needed.
    • Coordinate with sub-consultants for needed design services.
    • Attend site walks as needed.
    • Perform records requests and file dives.
    • Proofread and review documents for planners, engineers, and project managers.
    • Prepare portions of complex technical reports.
    • Contract and change order preparation in coordination with project managers.
    • Pick up and deliver plans and documents to jurisdictions and clients.
    • Prepare project narratives and response letters.
    • Project feasibility and project layouts.
    • Aid in preparation of proposals.

    • Understanding of permitting/project management processes and/or principles and practices of planning and/or public policy.
    • Read, interpret, and apply federal, state, and local laws, rules, regulations, and policies.
    • Strong project management and organizational skills.
    • Multitasking and prioritizing.
    • Communicate effectively with both internally and with those we serve.

    Education, Experience, Qualifications

    • A bachelor’s degree in planning, geography, civil engineering, political science, economics, environmental sciences; AND, three (3) years of experience in a related field. Work-related experience may be substituted for the required education or training on a year-for-year basis. 
    • Valid Washington driver’s license.


    Physical Considerations

    • Ability to operate standard office equipment, such as personal computer, printer, copy machine, telephone, and calculator.
    • Work activities involve combination of sitting for longer periods and intermittent standing/walking.
    • Some outdoor work is required in the inspection of various land use developments and construction sites.
    • Occasional travel to various job sites.
