Membership Associate - Museum coordinates museum membership activities. Manages the members services program, distributes newsletters and other publications, sends renewal notices to expiring members, and maintains membership databases. Being a Membership Associate - Museum promotes membership renewals and marketing efforts. Provides reports to top management on membership statistics and trends. Additionally, Membership Associate - Museum may require an associate degree or equivalent. Typically reports to a supervisor or manager. The Membership Associate - Museum works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     The Membership Manager is accountable for overseeing and implementing all aspects of the membership program including acquisition, retention, and stewardship through development of strategic promotional plans, membership appeals, and special cultivation events. Works with Museum staff to design and implement programs, policies, and procedures for membership activities; develops and implements strategic membership plans that include membership acquisition (direct-mail, online memberships, brochure development, promotional opportunities, off-site sales, etc.), membership renewals (appeal letters, renewal timing/testing/analysis, reporting, incentives, and renewal packaging), membership reporting, fulfillment, benefits and dues, membership participation, and membership communication.

    The role also has oversight and responsibility for the Museum’s donor database and works closely with departments and admissions staff to maintain the database, generate a wide variety of gift reports, event invitation lists, membership reports and research.

    The Membership Manager communicates in a friendly, professional, and helpful manner and manages responses to member inquiries on a timely basis and serves as the liaison for members.


    Specific Job Functions
    Membership - 45%

    • Develop and implement plans to stabilize and increase the member base for both general and Circles members; plan and coordinate annual member event calendars, conduct member campaigns, etc.
    • Develop budgets for membership revenue and expense, and track and report progress against the budget.
    • Maintain Membership renewal process – includes printing, stuffing and mailing membership renewal letters
    • Maintain paid Membership processing – entering member information, creating thank you letters, printing cards/guest passes, and mailing packets in a timely manner
    • Track and provide new employee and Trustee memberships. Provide renewals as needed.
    • Work with Marketing Department to market membership benefits and events onsite at the museum and across various social media and online platforms

    Development - 40%

    • Manage gift entries, constituents information, and organization profiles in RENEXT. Log entries from Check Logs (Grants, Events, Major Gifts, Membership, etc.) in timely and accurate manner
    • Use database software to track membership activity, create reports, generate renewals, and mail acknowledgments.
    • Run fundraising reports to track giving levels, renewal rates, recurring gifts, and other key metrics for donor analysis.
    • Coordinate mailings using the donor database including membership acquisitions and renewals, event invitations, broadcast emails, correspondence, and donor appeals (Annual Fund, Major gifts, BATC, endowment, etc.).
    • Manage, implement, and track two Annual Gift Campaigns: Year-End Annual Fund and Spring Appeal
    • Monitor and track printing materials (letterhead, renewal letters, envelopes etc) for membership and development department. Work with Marketing to reorder.
    • Troubleshoot problems, improve overall processes, and meet deadlines during periods of heavy gift volume.

    Events - 10%

    • Work with Events Manager to develop, plan, and carry out a full calendar of general member and Circle member events
    • Work with Events Manager to effectively communicate event needs, processes, and show flows to all departments
    • Track event attendance and create event audits for each member offering

    Additional Support - 5%

    • Assist with major Development fundraisers and events
    • Additional duties as assigned in support of the Museum


    Qualifications

    Education and Experience: Bachelor’s degree or equivalent experience. Three years of development, marketing, or sales experience with an emphasis on creating, managing, and expanding a membership base.

    Skills

    • Strong verbal and written communication skills in English.
    • Competency with donor management or constituent relationship management systems; experience with Blackbaud Raiser’s Edge preferred.
    • Strong organizational skills, including high attention to detail and accuracy.
    • Self-sufficient in routine office tasks.
    • Experience of working in a non-profit organization is preferred.
    • Ability to handle confidential information appropriately.
    • Ability to manage multiple projects simultaneously; function independently; identify and set priorities.
    • Suited for a fast-paced, high-energy work environment
