    Position Summary

    Under limited supervision, this multi‐faceted position provides support for various administrative‐type tasks across the Operating Unit. Provides service for procurement, strategy development, warehouse, and office services. Supports daily tasks needed in purchases, contract closeouts, strategic alliance audits, program administration, reporting, records management, budget preparation, communications, internal agendas, travel arrangements, meeting arrangements, department presentations, and reconciliation.

Essential duties and responsibilities may include, but are not limited to, the following: 

    • Assists with administering and maintaining department records and overseeing the electronic and manual records archiving and destruction in accordance with state and federal laws; ensuring compliance with all document handling procedures and laws; handles confidential documents with discretion and security.
    •  Responsible for auditing/reporting on the District’s Strategic Alliance Partnership Agreements
    •  Responsible for Contract closeouts, including required reporting to the state agencies and document management.
    • Responsible for receiving/auditing contractor prequalification applications, coordinating appropriate approvals and updating the District’s solicitation site (currently ProcureWare) accordingly.
    • Responsible for formatting and submitting monthly Commission reports to the Manager’s office.
    • Assists with expediting on open orders.
    •  Assists with notifications and reporting associated with surplus and District procurement rosters.
    • Processing/distributing retainage reports.
    • Assist vendors and perform company profile updates for the District’s solicitation site (currently ProcureWare).
    •  Completes miscellaneous purchases using a procurement credit card; accurately reconciles transactions monthly.
    • Assist with department policy and procedure development and revisions.
    • Responsible for scheduling appointments, making phone calls, scanning, and filing, responding to emails, finalizing travel arrangements, and monitoring the schedule of various management employees; handles the receiving, sorting, and dispersing of mail, inventory etc.; demonstrates a high level of organization to facilitate the success of supported individuals.
    •  Coordinates meetings, prepares meeting agendas, takes down meeting minutes, and provides follow up documentation to manager and department supervisors; prepares and schedules various training events; facilitates meeting success by providing and ensuring all arrangements are scheduled.
    • Assists in the composition, update, and posting of the Operating Unit’s policies and procedures.
    • Arranges employee travel – completes travel authorizations and Statements of Expense as needed.
    • Assists in placing orders, writing, and allocating invoices, and following up on orders placed; creates and updates various spreadsheets to document budget spent; track budgets for all units and appropriately document costs; works with manager and department supervisors to maintain solid budget foundation and plan. 
    • Facilitate meeting deadlines, administer updates, schedule various meetings and appointments, provide follow up, secure and deliver appropriate documentation, and ensure the departments can do their tasks efficiently; plays vital role in the workflow of the District. 
    • Attends meetings and trainings as needed to provide professional support to any department or manager/supervisor needing assistance; proactive and a self‐starter; willing to help and provide administrative‐type services whenever needed. 
    • Ensure all mail is processed daily and delivered to USPS in a timely manner.
    • Receive and sort incoming USPS
    • Inventory and distribute office supplies to Grant PUD employees upon
    • Manage the print shop requests and deliver the end product timely and accurately to include copies; binding; and lamination.
    • Coordinate, as needed, with the contracted courier for interoffice and package delivery throughout the utility.
    • Provide assistance to monitor, maintain, and operate copy and postage equipment. 
    • Provide assistance to maintain mail locations and update mail slots as needed.
    • Provide assistance to inventory and distribute Grant PUD’s spot recognition items.
    • Takes on routine tasks or special projects as assigned. 
    • Demonstrates commitment to Grant PUD’s mission, vision, values, strategic plan, Grant PUD / IBEW Local 77 Code of Excellence. . The incumbent should be familiar with these organizational priorities and behave in a way that aligns with these expectations. 
    • Understands and adheres to compliance requirements for this position that may include laws, regulations, security guidelines, Grant PUD policies & procedures.
    • Actively participates in all aspects of our safety program, including but not limited to:
      • Following all safety policies and procedures.
      • Alerting supervisors and coworkers to unsafe or hazardous working conditions.
      • Reporting any safety incidents or close calls within 24 hours to your supervisor.
      • Accepting feedback from supervisors and coworkers regarding your own safety performance

    Education and Experience 

    Required 

    • High School diploma or GED
    • 2‐5 years’ experience in an administrative‐type role

    Preferred 

    • Associate degree, preferably in an administrative‐related or business field
    • One (1) year of experience designing or reviewing large asset datasets. 

    License and Certification

     Required

    • A valid State driver’s license with no restrictions is required.  Occasional travel to other Grant PUD locations required.

    Other Knowledge, Skills and Abilities 

    • Knowledge of organizational policies and procedures; department policies and procedures; file and records management; office equipment including copiers, scanners and other office standards, event planning, and follow up.
    • Skills in operating a personal computer and general office equipment; typing and entering data with speed and accuracy; budgeting and spreadsheet dynamics; customer service and communication; utilizing MS office products; interpersonal skills including clear and concise communication both in writing and verbally.

    • Per Grant County PUD policy all employees are required to work at their designated headquarters at least two days per week.

    • Majority of work is performed in a standard office setting.
