Job Summary:
The Aces In Motion Program Director (PD) reports to the Executive Director and oversees the coordination and administration of all aspects of daily programming. This includes planning, organizing and staffing the logistics of the after school portion of AIM. Duties are all inclusive in areas such as safety, cleanliness and order of program location, oversight and training of staff and volunteers, and communication and coordination with outside enrichment partners for the overall schedule and sequence of program activities.
The PD will ensure programming meets state, funder, and youth development compliance and standards. This position provides significant contributions to program partnership development, strategic planning, and managerial level decision making. The AIM PD oversees the afterschool site (Duval and Tennis Courts) and summer programming. PD manages the High School Director, Middle School Director, College and Career Coordinator, Academic Coordinator Intern and Volunteer Coordinator Intern.
This position must demonstrate advanced leadership qualities; AIM Values and Skills (Learning, Integrity, Leadership, Community, Teamwork, Effort and Resiliency), maturity, an understanding of underserved/underrepresented communities and serve as a positive role model to all AIM staff, students and the community at large.
Scope of work/program: On average, AIM hosts 35 middle school youth, 30 high school youth, 10 volunteers, 7 full time staff and 20-25 part-time staff.
RESPONSIBILITIES:
LEADERSHIP
- Assist the ED in planning the delivery of the overall program and its activities in accordance with the mission and the goals of the organization
- Assist the ED in the development of new initiatives to support the strategic direction of the organization and long-term goals and objectives to achieve the successful outcome of the program
- Assist the ED in the development and implementation of a program evaluation framework to assess the strengths of the program and to identify areas for improvement
- Assist with grant proposals for programs and support services as requested by Executive Director
- Maintain high standards of professionalism and customer service through effective communication, personal motivation, and interpersonal skills with staff, interns, volunteers, members, peers, superiors, parents and the public
- Supervise AIM programming team including Middle and High School Directors, College and Career Coordinator, Volunteer Coordinator Intern, Academic Coordinator Intern and all General Staff (Coaches) and volunteers to ensure the effective and efficient program delivery
- Train AIM Leadership team in Trauma-Informed Healing Centered Care and best Youth Practices on a quarterly basis
- Lead weekly meetings for Directors and staff
- Assist in editing and preparing communications with volunteers, staff, parents and facilitators
- Conduct tours of the program, including sports facilities, buildings, and program areas, effectively explaining programs and services offered
- Assist ED and Leadership Team in effectively monitoring programming budget and oversee staff fiscal responsibility
- Attend and plan professional development seminars as requested
- Assume any other duties as assigned by Executive Director
STAFFING
- Supervise Middle School Director, High School Director, College and Career Coordinator, Academic Coordinator Intern and Volunteer Coordinator Intern
- Recruit, interview and train well-qualified program staff and volunteers with support of ED and Leadership Team
- Collaborate with ED and Mental Health Counselor to ensure AIM maintains Trauma-Informed Healing Centered best practices in youth development
- Model and reinforce the human resources policies, procedures and practices of the organization
- Ensure that personnel files for the program are properly maintained and kept confidential
- Ensure that all program staff and volunteers receive an appropriate orientation to the organization, training, performance reviews
- Track organizational volunteer hours for end of year reports
- Assists in organizing special events for parents and community
PROGRAMMING
- Oversee all activities related to AIM programming including but not limited to AIM Tennis Days, the after school programming, logistics with external partner agencies and implementation of culturally relevant internal programming activities
- Plan and maintain AIM programming calendar and Coordinate the delivery of services
- Ensure all AIM billing and invoices remain accurate and current as related to programming
- Monitor the program activities weekly and conduct an annual evaluation according to the program evaluation framework
- Provide support to the Middle and High School Directors during programming hours (2:30-5:45) as needed
- Collaborate with Leadership Team to develop and evaluate program curriculum in order to ensure that standards and guidelines are adhered to, and are of adequate quality
- Communicate with students, families and other stakeholders to gain community support for the program and to solicit input to improve the program
- Communicates with landlords, building maintenance, cleaning services to maintain required facility standards and upkeep
- Ensure that program activities operate within the policies and procedures of the organization and comply with all relevant legislation and professional standards
- Oversee the collection and maintenance of records on AIM students for statistical purposes according to the confidentiality/privacy policy of the organization
- Develop forms and records to document program activities
- Drive transportation van for program pickups and drop offs and on field trips, as necessary
QUALIFICATIONS:
- Bachelor’s Degree is preferred or 5 years experience in youth development and/or leadership
- Two or more year’s related experience working with middle and/or high school youth, ideally implementing programs
- Experience in meeting facilitation and leading public presentations, training and speaking engagements
- Experience in cultural competency to work with and relate effectively to diverse groups of people from all social, cultural, and economic segments of the community
- Ability to motivate, develop and direct people as they work, identifying the best people for the job
- Ability to present a positive image to staff, participants, colleagues, and the community
- Ability to work independently, highly flexible, and manage multiple priorities
- Must be detail-oriented with excellent communication, organizational, interpersonal and writing skills
- Must be mentally alert and remain friendly and professional at all times
- Must have a strong work ethic and high degree of professionalism
- Valid FL Driver’s License. Must have reliable transportation and be able to drive a car and have appropriate auto insurance coverage
- CPR/AED and First Aid Certification within 90 days of employment
- Proficient computer skills, especially using Microsoft Suite and Google Suite of applications
- Ability to walk, bend, sit, lift 20 pounds. Must be able to work both indoors and outdoors and adapt to inclement weather. Must be able to perform basic athletic tasks commensurate with a sports based youth development program.
