Job Responsibilities
- Entering payments received via check, credit card, and ACH. As well as any follow-up needed with discrepancies.
- Monitoring, maintaining, and distributing from the National account group email.
- Answering all Accounts Receivable Department switchboard calls in a prompt and professional manner.
- Routine Billing of National accounts including but not limited to, invoice submission and tracking.
- Processing unlocks for National accounts and assisting in providing the collection plan for these accounts.
- Maintain an organized system for reviewing assigned National accounts by maintaining a relationship with the National account contact via phone and/or email, as well as keeping all reports and follow-up documentation organized for regular review sessions with the Director of Accounts Receivable as well as the Accounts Receivable Manager. This would include but is not limited to requesting and filing all needed invoices, bill missed or skipped invoices, log all updates, and track all past due accounts, etc.
- Act as a liaison between National account contacts and branch personnel for all discrepancies involving the National accounts.
- Processing of the monthly National account percentage report.
- Entering and deleting credit cards from customer accounts.
- Communicate with each National account contact regarding all payments and past due invoices.
- Perform all tasks according to established performance and customer service guidelines as assigned by the Director of Accounts Receivable or Accounts Receivable Manager.
- All employees who work in the department cross train on the department’s responsibilities. This means you may have to occasionally take on tasks outside the normal scope of your job.
Job Requirements
- High School Diploma or equivalent with 1-year related experience and/or training.
- Must be proficient in using Microsoft office products (Word, Excel and Outlook).
- Must pay close attention to details and accuracy.
- Experience with an ERP Accounting system.
- Ability to read and interpret documents such as invoices, correspondence and procedure manuals.
- Can write basic correspondence and speak effectively with customers, home office and branch personnel.
- Must be able to solve practical everyday problems with little or no assistance.
- Must be able to interpret a variety of instructions furnished in written, oral or diagram form.
- Effective communication and organizational skills required.
- Must have sense of urgency and be able to prioritize workload in an efficient manner
The National Accounts Receivable Representative will be responsible for the monitoring and follow-up of the Accounts Receivable for all National accounts. This includes all aspects of Accounts Receivable, but not limited to: Processing and posting all forms of payment transactions, billing and tracking of National account invoices, monitoring past dues and communicating that to the Director of Accounts Receivable and Accounts Receivable Manager via weekly reviews as well as communication with the branches on status of National accounts within their region.
