    Workwell Occupational Medicine, LLC is seeking an experienced Front Office Specialist to join our team! This is a full-time position based at our Fort Collinsclinic at 1600 Specht Point Road in Fort Collins. Workwell Occupational Medicine, LLC is a specialized medical provider that treats work-related injuries and provides occupational health services for employees of our business clients. We have eight welcoming walk-in clinics in Northern Colorado, the Denver Metro area and our newest clinic in Colorado Springs with medical providers who are ready to treat your employees with an on-the-job injury or illness. This position will be scheduled to work M-F, 8:00 am - 5:00 pm. Must be willing to occasionally travel to other Workwell clinics to provide coverage when needed. Starting pay range is $18.00 - $20.00/hr. DOE.

    Job Duties & Tasks

    • Patient greeting: Greet patients with a smile. Notify the appropriate doctor/nurse practitioner by paging them on their extension. If paperwork is required make sure to complete required paperwork.
    • Answer Phones: Answer all telephone calls in a professional manner and direct to appropriate staff member. Take accurate messages. Check voice mail and return calls when required.
    • Scheduling: Scheduling clinic appointments for: Work Comp injuries, drug screens, physicals, immunizations, referrals to specialists, scheduling scans/MRI’S/X-rays, JSA, FCE’S, physical therapy and massage therapy appointments.
    • Manage all work comp visits: Schedule appointments, creates chart, coordinates all paperwork, to include RX and /or supplies given, enter into system all charges for billing, keeps employers and insurance companies informed of patient’s progress via faxes / emails.
    • Faxing or email: All m-forms and dictation when required or insurance / employer’s requests
    • File: File correspondence, etc in the appropriate section of the chart.
    • Attachments: Attach all scans and faxes to patients’ files.
    • No-show follow- ups: Notify employer and/or insurance carrier of any no-show. If no response, call patient to reschedule. After three consecutive no-shows, employer or insurance carrier will have to call to reschedule the appointment.
    • Reminder calls: Make reminder calls for all of our patients for the next business day.
    • Prepare new patient charts: Always have new patient charts ready with new patient information sheet. Place dividers, patient information form.
    • Process Charts for Physical Therapy: Responsible for making copies of both the daily note and charge sheet. File the original daily note on chart and prepare chart for the next visit by having a copy of a blank daily note ready.
    • Pre- authorizations: Responsible to obtain pre-authorization from insurance company for any outside referral, physical therapy, massage therapy and keeping record if this in the system.
    • JSA/FCE: Responsible for calling insurance carrier and ask for authorization for JSA/FCE. Calls patients to schedule and sends out confirmation letter. Advises the referring provider of the scheduled appointment date and time.
    • Consults, X-rays, etc.: Obtain reports from referring providers. Have ready for patients follow up.
    • Signature: Make sure that a provider signs off on any paperwork that is required (M-form form Nurse Practitioner)
    • Waiting room: Keep office and waiting room clean
    • Billing: Make sure to receive completed billing for all services performed and turned into billing, this includes to enter all charges into the system.
    • Medical Records: Request records from other facilities upon doctors request.
    • Re-Calls: Runs re-calls reports.
    • Provider office: Responsible for the upkeep of the provider offices, inclusive of linen change and stocking of supplies. Chaperoning doctors/patient visits when requested. Assist the provider when needed.
    • Pharmacy: Calling in medication to pharmacies according to providers’ directions
    • Other duties as assigned

    Work Hours

    Clinic hours are approximately 8am - 5pm (vary by location), Monday - Friday, No weekends. Hours are dependent on business and clinic needs.

    Physical Requirements

    Standing 23 % of the time. Walking 25% of the time. Bending /Squatting/Kneeling 7 % of the time. Reaching 10% of the time. Lifting up to 20 lbs. 5 % of the time. Sitting and reaching 30% of the time
    Required Experience:


    Education, Skills & Qualifications

    • High School Diploma or equivalent required.
    • Two (2) or more years of demonstrated Front Office /Reception experience, preferably in a healthcare environment.
    • Spanish bi-lingual highly desired.
    • Current certification of CPR/BLS for health care workers from recognized program, required.
    • Must demonstrate organizational and time management skills, as well as an ability to prioritize tasks that keep providers and clinic operations flowing smoothly.
