    Summary:

    Better Together ND is a Community Connect, Free Through Recovery, and 1915i provider for the State of North Dakota. Better Together ND provides care coordination, peer support, and recovery services aligned to each individual’s specific needs. Better Together ND is seeking a highly organized and detail-oriented individual to join our team as an Office Manager. The successful candidate will be responsible for the efficient functioning of our office environment, in encompass a wide range of administrative and managerial tasks to ensure smooth operations and a productive workplace, and be the central point of contact for various departments, vendors, and visitors, and organizational skills will be crucial in maintaining an organized and welcoming office atmosphere department, ensuring efficient operations, and contributing to the overall success of our organization.

    Responsibilities:

    • Administrative Support:
    • Manage day-to-day administrative tasks such as answering phones, sorting mail, and maintaining office supplies.
    • Oversee scheduling, appointments, and travel arrangements for executives and staff members.
    • Prepare and distribute internal communications, memos, and reports as needed.
    • Facilities Management:
    • Coordinate office maintenance and repairs, including liaising with building management and vendors.
    • Ensure the cleanliness, safety, and functionality of the office space, including meeting rooms and common areas.
    • Manage office equipment and technology, including ordering, setup, and maintenance of computers, printers, and other devices.
    • Order and manage office supplies and equipment, ensuring adequate inventory levels.
    • Human Resources Support:
    • Assist with the onboarding process for new employees, including paperwork, orientation, and workspace setup.
    • Maintain employee records and assist with HR-related inquiries or issues.
    • Coordinate employee events, celebrations, and team-building activities.

    • Assist with budget planning and expense tracking for office-related expenditures.
    • Process invoices, purchase orders, and reimbursements in a timely manner.
    • Work with finance department to ensure accuracy and compliance with financial policies.
    • Visitor and Guest Management:
    • Greet visitors and guests, ensuring a positive and professional experience.
    • Coordinate meeting room bookings and catering for client meetings or events.
    • Manage security protocols and visitor access to the office.
    • Project Coordination:
    • Support various departments with project coordination, including scheduling meetings, tracking deadlines, and facilitating communication.
    • Assist with research, data analysis, grant writing, and presentation preparation as needed.

    Requirements:

    • Proficiency in Google Workspace and office equipment.
    • Excellent communication skills, both written and verbal.
    • Strong organizational skills with the ability to multitask and prioritize effectively.
    • Attention to detail and problem-solving abilities.
    • Ability to handle sensitive and confidential information with discretion.
    • Strong interpersonal skills and ability to work collaboratively.

    Preferred Qualifications:

    • Bachelor's degree in Business Administration, Management, or related field preferred.
    • Proven experience in office management or administrative roles.
    • Strong organizational and multitasking abilities, with keen attention to detail.
    • Excellent communication and interpersonal skills.
    • Ability to prioritize tasks and work efficiently in a fast-paced environment.
    • Discretion and professionalism in handling sensitive information and situations.
    • Familiarity with basic HR and financial processes is a plus.
    • Associate's or bachelor's degree in business administration or related field.
    • 2 years as an office manager or similar position
    • Experience in the criminal justice and human service industry
