OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an OFFICE SERVICES MANAGER typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     • Supports efficient facility operations by managing administrative and clerical staff and coordinating all front office activities
    • Enforces all office policies, develops and maintains standards & procedures for all administrative functions
    • Manages the time and attendance for all administrative personnel
    • Supports the tracking and reporting of key performance indicators
    • Supports human resource functions including coordinating interviews with hiring managers, facilitating the completion and maintenance of paperwork, coordinating onboarding and engaging with Human Resources on all employee escalation issues
    • Manages all front office supplies
    • Coordinates with IT on the procurement and maintenance of office equipment, systems and access
    • Coordinates with local vendors and service providers to keep accounts in good standing
    • Responsible for record protection, retention, and disposal in accordance with policy
    • Address all customer inquiries and complaints

    Qualifications

    • High school diploma or equivalent required; Associate or Bachelor's degree preferred
    • Proven administrative experience in a fast paced environment
    • Strong organizational skills and the ability to manage multiple projects at a time
    • Excellent communication skills
    • Ability to recognize problems and implement innovative solutions to ensure the smooth operation of the facility
    • Strong commitment to customer and employee service
