OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an OFFICE SERVICES MANAGER typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     Provides office services by implementing administrative systems, procedures, and policies, and supports staff administratively. This job description is a record of the essential functions of the listed job. Jobs are always changing to some degree and the existence of the approved job description is not intended to limit normal change and growth.  Duties are performed primarily from Monday to Friday in office from 9:00am to 5:00pm.  

    Requirements

     

    Serve as the point person for Executive Team assistance including:

    • Organize the office layout and order stationery and equipment
    • Maintain the office condition and arrange necessary repairs
    • Organize office operations and procedures
    • Knowledge of Microsoft 365
    • Coordinate with IT department on all office equipment
    • Manage contract and price negotiations with office vendors and service providers
    • Manage office G&A budget, ensure accurate and timely reporting
    • Provide general support to visitors and staff by answering questions and requests.
    • Address leadership team member’s queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
    • Liaise with facility management vendors, including cleaning, catering and security services
    • Plan in-house or off-site activities, like parties, celebrations and conferences
    • Answers office phones by and directs calls to appropriate personnel.
    • Provide oversight and communication with third party vendors in relation to the office (ex: cleaning services, deliveries, etc.).
    • Maintains all safety standards required through CARF and state guidelines.
    • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
    • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
    • Completes operational requirements by scheduling and assisting with administrative projects; expediting work results.
    • Contributes to team effort by accomplishing related results as needed.
