OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager.     The Client Service Manager is an essential member of our team at Andover Animal Hospital and must have experience managing business operations and successfully leading people. Our ideal candidate is driven to cultivate employee relations, culture, diversity, and leadership in the complex veterinary hospital setting. We are looking for a collaborative team player that can work with, and complement the knowledge of, other team members of the hospital, including our current Office Managers and all the Doctors of Veterinary Medicine (DVM) and the other Support Center teams.

    Essential Functions and Responsibilities:

    • Must be able to work on feet most of the day in busy office setting.
    • Deliver exceptional customer service to pet owners in a polite and timely manner, both in person and over the phone.
    • Lead and manage a team of approximately 20 or more direct reports alongside our current Client Service Managers.
    • Maintain compliance with employment laws and regulations.
    • Train the team on professional, efficient, and unmatched client experience (lead by example), to include receptionist duties, client education, preventive care, pet health needs, marketing campaigns, and effectively resolve client issues.
    • Identify potential obstacles or opportunities and formulate solutions to remove barriers in operations that would impede the team from delivering excellent care and experience.
    • Partner with the Practice Manager, Current Client Service Manager, Support Center and Medical Director to interview, select, train, develop, coach, mentor, and if necessary, discipline and terminate team members.
    • Partnering with Scheduling Manager to effectively create and maintain work schedules to ensure proper coverage to meet client needs and proactively planning PTO and CE scheduling.
    • Provide effective communication between the hospital team, clients, and Support center teams.

    Skills and Qualifications:

    • Minimum 3 years of experience in operations of veterinary hospitals.
    • Ability to utilize HR reporting platforms (HRIS, ATS).
    • Demonstrates extensive knowledge of operations and employee training.
    • Strong interpersonal skills and communication; ability to influence and articulate a variety of issues to different audiences, tailoring messages accordingly.
    • Computer experience and proficiency required.
    • Proficient time management, ability to problem solve, learn, and handle multiple tasks.
    • Enthusiastic team player with a patient, and positive professional attitude.
