OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions.     Duties/Responsibilities:

    · Oversee daily office operations, including managing schedules, appointments, and resources.

    · Implement and maintain efficient filing systems, both electronic and physical.

    · Act as a liaison between employees and management, facilitating clear communication channels.

    · Respond promptly to inquiries and coordinate communication flow within the office.

    · Provide administrative support to various teams, including scheduling meetings, preparing documents, and handling logistics.

    · Assist in onboarding new employees and facilitating training programs.

    · Coordinate office maintenance and repairs, ensuring a clean and comfortable working environment.

    · Manage relationships with vendors and service providers.

    · Oversee administrative staff and assign tasks based on workload and priorities.

    · Conduct performance reviews and provide feedback to support professional development.

    · Assist in budget preparation and monitor office expenses.

    · Process invoices, track expenditures, and reconcile financial records.

    · Plan and coordinate office events, meetings, and conferences.

    · Arrange travel, accommodations, and logistics for staff when necessary.

    · Oversee office technology infrastructure, including computers, phones, and software tools.

    · Troubleshoot basic IT issues or coordinate with IT support.

    · Collaborate with HR on personnel matters, including timekeeping, leave requests, and benefits administration.

    Required Skills/Abilities:

    · Proficiency in MS Office, Quickbooks and office management software.

    Education & Experience:

    · Bachelor’s degree or pursuing bachelor’s degree in business administration, Management, or relative experience to field (preferred).

    · Proven experience as an Office Manager assistant or in a similar administrative role.

    · Familiarity with office management procedures and basic accounting principles.
