We are seeking a Receptionist (Office Specialist 2) to join our Medford Child Welfare team.

What you need to qualify
Essential attributes
We are looking for candidates with:

Experience using Microsoft Office products, including Word, Outlook, Excel, and PowerPoint

Experience successfully conducting work that requires a high-level of attention to detail (specifically as it relates to working with confidential information).

Experience utilizing organization to track tasks and follow-up with people in a timely manner.

Ability to input and retrieve data from different computer programs.
-
Experience successfully working in an ever-changing environment where priorities may need to be adjusted.

An understanding of how to effectively engage with families and community partners via email, phone, and in person.

Previous administrative experience with working knowledge of office procedures.

As a receptionist, you will:

Complete a variety of secretarial and technical tasks in support of agency programs and operations.

Create a work environment where individuals feel welcomed, appreciated, and valued for all that they bring to the organization.

Complete and verify data entries to ensure all information entered and uploaded into the Child Welfare OR-KIDS information system is correct.

Provide assistance with reception duties.
-
Locate files and verify each file contains all the necessary information.

Complete data entry.
-
Scan and upload documents to internal computer software.
-
Notify and remind caseworks of upcoming deadlines.
-
Communicate with community partners, as necessary.
-
Provide day to day assistance to case workers.
Working conditions
-
Most of your work will be conducted in the office. You may have occasional opportunities to work remotely, but this would need to be discussed with and approved by your manager.

You may have occasional opportunities for overtime, but overtime will not be required.
-
You will cover the reception desk. During this time, you may interact with a wide range of people including some who have experienced trauma and exhibit challenges in controlling emotions.
