Position Summary:
The Operations Manager is responsible for leading, directing and developing administrative staff to ensure excellent customer service across all offices and facilities and to facilitate human resources, facility maintenance, and revenue cycle oversite (“RCO”) company-wide
Principal Duties & Responsibilities:
Under the direct supervision of the Practice Administrator, the Operations Manager will manage the daily nonclinical operations of the organization by creating, documenting, and implementing workflows and policies and procedures. He/she will supervise all administrative staff including call center, registration, administrative, billing and authorization teams. He/she will assist the Practice Administrator in developing strategic plans and objectives based upon the needs of the patient population.
Nonclinical Operations Responsibilities:
· Recruits, hires, retains, terminates and trains administrative personnel as required to assure efficient and effective office workflows.
· Establish and monitor annual department productivity, quality, fiscal goals, and staffing
· Responsible for customer relations and customer service initiatives.
· Acts as a conduit for department and organizational communication among staff and providers.
· Participates in and supports departmental and organizational change.
· Ensures compliance with State, Local, Federal regulatory requirements.
· Takes responsibility for individual performance goals. Manages the team members performance through c constructive and timely feedback.
· Responsible for holding staff meetings to update staff.
· Leads Front Admin/Billing Team through efficient revenue cycle process to achieve metric goals.
· Accountable for building and maintaining provider schedules and ensuring they are fully utilized (directly or delegated)
Human Resources, Facilities, and RCO Responsibilities:
· Using data provided by Athena, the Practice Administrator, and others, analyzes data to identify trends and adjust operations to improve performance in the areas of:
o Relevant human resource management
o Office visit scheduling
o Revenue cycle oversite
· Keeps practice informed on organization context in areas of
o Growth or decrease in patient volume
o Appointment volume including Scheduled, No Show and, Cancelled appointments
o Phone volume (received, dropped and pick-up volume)
· Responsible for communicating with the billing company around changes to fee schedule(s)
· Responsible for minimizing office overhead expenses according to acceptable area/specialty average
o Minimize office waste
o Facilitate comparative “shopping” for office and clinic supplies
o Establish and implement financial controls as needed
· Participates and negotiates in collaborative business ventures
· Handles real estate endeavors from site survey to negotiations
· Upfits offices with furniture/equipment/supplies and clinic equipment/supplies
Skills:
· Exercise a high degree of initiative, judgement, discretion, and decision-making to achieve organizational objectives
· Analyzing situations accurately and taking effective action
· Organize and integrate organizational priorities and deadlines
Education & Experience:
· Bachelor’s degree in management preferred
· Minimum of 5-7 years’ experience in healthcare administration.
· Proficiency in using an Electronic Medical Record
