Essential Duties and Responsibilities include the following. Other duties may be assigned.
Provide coordination throughout the sales process for DMC Sales Team Members in the following areas:
- Record & maintain accurate and detailed client/program information in cloud-based CRM system
- Perform administrative duties such as typing proposals, letters, contracts, etc. Collect data, update databases, and complete departmental monthly reports
- Participate in the sales process to include attending virtual and in person meetings as requested, taking detailed notes
- Respond to client calls and special requests to obtain final details, dates, times, and other requirements
- Regularly follow-up with clients and maintain accurate and updated information, as requested by sales team
- Help sales team build custom programs by sourcing products, services, and availability
- Aid sales team in managing new relationships with clients and vendors
- Create details such as products, costing and articles within cloud-based CRM system
- Assist in creating vision boards and providing and maintaining product selections during the sales phase to help transition to operations
- Monitor the sales discovery process with the sales managers to ensure communication is responded to timely and deadlines are met
- Maintain and submit financial paperwork accurately, as requested
- Serve as intermediary between sales & operations, providing timely updates as needed
- Coordinate with operations on costing during the sales process
- Communicate to operations team any pertinent sales transition notes to help team provide exceptional programs and experiences
- Attend pre-convention meetings, as requested
- Promote teamwork and quality service through daily communication and coordination with other departments. Coordinate details with other departments such as Leisure on special requests, or other service needs or special handling
- Communicate with external partners on program information as needed
- Serve as host or guide for tour programs, as requested
- Communicate any changes or additions affecting billing with the Group Coordinator
- Assist in transportation manifest coordination, as requested
- Assist in special projects, as requested
- Attend periodic all-staff and weekly DMC Team meetings
- Support an environment of learning and trust by acting as a positive role model

Qualifications and Requirements:
High School diploma or equivalent plus 1 year experience in a sales/DMC office or related field. Some college preferred. Must speak fluent English.
- Frequently standing up or moving within and outside the facility
- Carrying or lifting items weighing up to 25lbs
- Type at least 40wpm; proficient PC computer skills
- Communicating with customers, employees, and third parties
- Use a keyboard to generate correspondence, reports, etc.
- Handling objects, products, and computer equipment
