Payroll Administrator is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Being a Payroll Administrator maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting. Additionally, Payroll Administrator may coordinate payroll processing with an outside service provider. Responds to and resolves any inquiries regarding paychecks or payroll reporting. Ensures payroll issues are escalated and resolved promptly. May require an associate degree or equivalent. Typically reports to a manager or head of a unit/department. The Payroll Administrator work is closely managed. Works on projects/matters of limited complexity in a support role.     Description

    Summary of Position with General Responsibilities:

    Under the direct supervision of the VP of Finance, the Payroll Administrator is responsible for processing payroll in a timely manner while maintaining confidentiality. The Payroll Administrator performs various calculations, reconciliations, and provides reporting related to payroll processing. The Payroll Administrator is responsible for adhering to applicable state and federal rules and regulations related to payroll.

     

    Essential Job Functions:

    • Processes weekly and bi-weekly payrolls
    • Processes ad-hoc payroll cycles as necessary
    • Calculates bonuses and/or commission when applicable
    • Processes manual checks as required
    • Creates, maintains, and provides payroll related reporting to leadership
    • Resolves payroll discrepancies by collecting and analyzing information and interacting with other departments as needed
    • Maintains payroll operations by following policies and procedures, and reporting needed changes
    • Maintains employee confidence and protects payroll operations by keeping information confidential
    • Responds to various Government Agencies regarding Garnishments and payroll records
    • Completes and uploads all garnishments to the payroll provider
    • Maintains the integration and compliance with our benefit providers and our payroll systems (401k, Medical, Dental, etc.)
    • Assists in various audits as requested
    • Performs other duties as assigned

    Basic Qualifications:

    • Ability to type a minimum of 40 WPM
    • Strong numerical aptitude and attention to detail
    • Excellent communication skills, both verbal and written
    • Strong time management and organizational skills
    • Working knowledge of relevant legal regulations
    • Ability to prioritize and multitask effectively
    • Microsoft Word and Excel

     

    Additional Desirable Qualifications Skills and Knowledge:

    • UKG payroll experience preferred

     

    Education and/or Experience:

    • High school diploma/GED required
    • Minimum 4 years payroll processing experience required
    • Experience in multi-state payroll processing preferred

     

    Physical Demands:

    While performing the duties of this job, the employee is regularly required to stand, walk, sit, and use hands to manipulate, handle or feel objects, tools, controls, and office equipment. The employee frequently is required to talk and hear. The employee is occasionally required to reach with hands and arms and stoop, kneel or crouch.

     

    Work Environment:

    While performing the duties of this job, the employee may be in an open cubicle and/or normal office environment. Candidate must be able to work in a team-oriented, fast-paced environment.
