Payroll Administrator is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Being a Payroll Administrator maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting. Additionally, Payroll Administrator may coordinate payroll processing with an outside service provider. Responds to and resolves any inquiries regarding paychecks or payroll reporting. Ensures payroll issues are escalated and resolved promptly. May require an associate degree or equivalent. POSITION CONCEPT
The Payroll Administrator plays a crucial role in facilitating efficient payroll administration for the agency, ensuring adherence to accounting procedures and internal controls to support effective financial management.
POSITION RESPONSIBILITIES
The Payroll Administrator will:
1. Collaborate with Staff and Management to achieve the goals of CWI.
2. Manage administrative, processing biweekly payroll, CDPAS, and Consumer payroll, including payroll deposits, overtime tracking, and payroll report preparation and distribution.
3. Oversee consumer and CDPAS payroll administration and supervision.
4. Monitor, maintain, and coordinate with HR and A/P for fringe benefits and COBRA calculations, including FICA, Health Insurance, and Pension.
5. Prepare and maintain cost allocation/distribution tables.
6. Provide monthly input for general ledger entries, payroll summaries, and liabilities.
7. Reconcile payroll liabilities and expense accounts by cost center.
8. Ensure compliance with IRS tax filing requirements.
9. Analyze payroll data for audits and reporting purposes.
10. Assist with year-end processes such as W-2 preparation and payroll reconciliation.
11. Support resolution of paycheck inquiries.
12. Manage payroll projects, including timesheet audits and software implementation.
13. Assist in accounting functions as needed to maintain accuracy and timeliness.
14. Coordinate staff-related information for annual budget development, ensuring accuracy.
15. Maintain confidentiality of organizational information.
16. Attend training sessions and staff meetings as directed.
17. Fulfill additional duties as directed by the CFO or President/CEO.
