Payroll Clerk jobs in Longview, TX

Payroll Clerk prepares and processes payroll and associated information. Collates and verifies data and inputs into the payroll system. Being a Payroll Clerk updates payroll records and processes routine changes to employee records. Performs basic reconciliation and auditing processes during each pay cycle. Additionally, Payroll Clerk responds to pay-related inquiries from staff. Researches and resolves errors or omissions. May prepare and submit reports and forms required by IRS or other regulatory bodies. Follows all processing procedures, adheres to policies, and maintains confidentiality. Typically requires a high school diploma or equivalent. Typically reports to a supervisor. The Payroll Clerk works under moderate supervision.   • Primary Purpose:

    Provide support for daily human resource operations. Handle routine HR inquiries and provide responsive and knowledgeable assistance to employees. Compile and prepare regular district payroll, including related reports and deposits. Work under moderate supervision to ensure accurate and timely preparation of payroll records according to prescribed procedures and regulations.


    Qualifications:

    Education/Certification:

    High school diploma or GED


    Special Knowledge/Skills:

    Proficiency in keyboarding and file maintenance

    Ability to use software to develop spreadsheets, databases, and do word processing

    Ability to perform basis math

    Ability to read, speak and understand English

    Excellent organizational skills

    Effective communication and interpersonal skills

    Knowledge of basic payroll accounting procedures

    Ability to maintain accurate and auditable records

    Ability to use software to create spreadsheets, databases, and do word processing

    Proficiency in keyboarding and file maintenance

    Ability to work with numbers in accurate and rapid manner to meet established deadlines

    Effective organizational, communication, and interpersonal skills


    Experience:

    years of clerical experience preferred

    Major Responsibilities and Duties:

    HR Support

    • Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors. Explain HR policies and practices to employees as appropriate.
    • Maintain HR information database to ensure that employee information is accurate, current, and reliable.
    • Maintain position control system in an accurate and timely manner. Reconcile job descriptions with position control to ensure that there is a job description for every job. Follow up with supervisors to make certain that job descriptions are reviewed and updated on a regular basis.
    • Receive and process applications, including verifying completeness of files and notifying those not selected for employment.

    Process new hire paperwork including criminal history information, references, and other application

    Reports and Correspondence

    • Prepare and distribute or post job vacancy announcements and advertisements.
    • Prepare, maintain, and distribute employee handbook as directed.
    • Prepare correspondence, forms, and reports according to district standards and requirements.

    Other

    • Assist employees and applicants to complete applications and required paperwork.
    • Assist with the preparation and distribution of employment contracts.
    • Maintain confidentiality.
    • Follow district safety protocols and emergency procedures.

    Payroll Accounting

    • Prepare accurate district payroll for distribution to employees following established procedures.
    • Receive and audit time sheets for all district employees. Calculate employee wages, salaries, hours worked, overtime pay, and determine withholdings, deductions, and net pay.
    • Balance payroll earnings and deductions; initiate related transfers of funds and deposits.
    • Maintain district payroll registers, employee payroll information, and other original documentation in an orderly and accurate manner in accordance with state, federal, and district requirements.

    Data Entry

    • Prepare and post all payroll changes including payroll deductions, salary changes, termination, and new employee information.

    Records and Reports

    • Compile, maintain, and file all reports, records, and other documents as required including maintaining payroll and related files such as payroll records, absent-from-duty reports, and service records.
    • Prepare and submit payroll reports and forms including those required by Internal Revenue Service, Texas Workforce Commission, Texas Retirement System, Federal Insurance Contributors' Act (FICA), Medicare, Texas New Hire Reporting, and Workers' Compensation Commission.

    Other

    • Work cooperatively with Superintendent, principals, department heads, campus and department secretaries, and employees to ensure accuracy of information reported. Resolve payroll problems and inquiries.
    • Respond to requests from financial institutions regarding verification of employment.
