Payroll Clerk prepares and processes payroll and associated information. Collates and verifies data and inputs into the payroll system. Being a Payroll Clerk updates payroll records and processes routine changes to employee records. Performs basic reconciliation and auditing processes during each pay cycle. Additionally, Payroll Clerk responds to pay-related inquiries from staff. Researches and resolves errors or omissions. May prepare and submit reports and forms required by IRS or other regulatory bodies. Follows all processing procedures, adheres to policies, and maintains confidentiality. Typically requires a high school diploma or equivalent. Typically reports to a supervisor. The Payroll Clerk works under moderate supervision. Job DescriptionThe Payroll Specialist is responsible for payroll processing in the U.S. and Canada, while ensuring compliance with all Federal, State and other regulatory obligations.
Review, calculate, and process payroll changes and adjustments. Prepare and execute state and federal payroll taxes and payroll funding.
Prepare and process weekly and biweekly payroll for all exempt, non-exempt, and hourly employees, in the U.S. and Canada.
Complete off cycle payrolls for the U.S. and Canada as needed.Prepare and execute multi-state taxation activities related to payroll, including federal, state provincial, and local tax.
Review timecards in Kronos Timekeeping system for accuracy, process changes to employee timecards, audit batch information for accuracy and ensure timely execution of data for processing.
Process termination and final payments in accordance with State and Federal requirements and within company guidelines.Support workflows to ensure all payroll transactions are recorded and processed accurately in a timely manner.
Ensure prompt responses for all payroll queries from HR professionals, at all US and Canada sites.Works closely with the external payroll vendor ADP and the Payroll Manager on tax filing reconciliation and payroll related tax funding.
Plan and coordinate the production and distribution of all employee tax statements and notifications (W2, W2C, T4) as required by law.
Assist with the year-end payroll tasks.Assist Payroll Manager with any special projects as needed.Back up to other Payroll team members.Experience
MUST haves : 2 years of related payroll experienceExpertise in US payroll taxation and filingsWorking knowledge of multiple State payroll tax lawsProficiency with spreadsheets including PIVOT and VLOOKUPWorking knowledge of Kronos, Workday and ADP system (taxes)Expertise in Canadian payroll processingHaving CPP designationWorking knowledge of payroll audit procedures.
