Job Title: Payroll Specialist
Department: Accounting
Reports To: Payroll Manager/Controller
SUMMARY
Responsible for providing leadership and the promotion of our core values: honesty, safety, quality and teamwork. Payroll Specialists are also responsible for ensuring accurate processing and recording of company’s payroll, provide timely and accurate financial information, while participating in daily data entry Payroll processing. Lastly, the Payroll Specialist is responsible for general office management responsibilities, such as filing, project management, scheduling, paperwork, communication, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following (other duties may be assigned):
- Administer all aspects of payroll processing, payroll tax payment and reporting, resolve issues with federal and state government agency
- Develop and administer all aspects of human resources and payroll plans, policies and procedures for company personnel
- Maintain and update personnel policies and procedures and compensation structure
- Ensure legal compliance by monitoring and implementing applicable federal and state employment laws and regulations, and reporting requirements
- Familiarize yourself and keep current with the taxation of salaries, benefits and other factors
- Process and monitor garnishment orders and other issues that impact payroll specifications
- Reconcile general ledger with regard to payroll transactions
- Respond to employee inquiries regarding payroll issues or concerns
- Maintain electronic time-keeping system and process records daily
- Train new employees on how to use the time-keeping system correctly as needed
SUPERVISORY RESPONSIBILITIES: None.
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required:
- 1-5 years’ experience in a Payroll position
- Proficient in Microsoft Word, Excel and Outlook
- Multi-task in a fast working environment
- Organizational and data entry skills with attention to detail
- Business-focused attitude, with high level of professionalism and discretion
- Ability to communicate interpersonally, verbally and written.
- Ability to read, analyze, and interpret complex documents
- Ability to respond effectively to sensitive inquires or complaints
- Detail-oriented and ability to work under fast pace environment
- Well-Organized and Strong Time Management Skills
- Fast keying speed required
- Must be available to be on call when needed (including weekends and/or holidays) & must be willing to potentially take on some overtime hours
- Must be willing to travel
- Valid Driver’s License is a Plus, Reliable Transportation a Must!
- Roofing/Construction Industry background a Plus!
- Acumatica, Sage 300/Timberline, Kronos/UKG, AboutTime/WorkMax experience is a plus
- Bilingual in Spanish or Vietnamese a Plus as well!
REASONING ABILITY:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a variety of instructions in mathematical or diagram form and deal with abstract and/or concrete variables.
